A part-time receptionist is required to work as part of a full-time job share at Stratford Health Care. The role involves processing all calls to the health centre, dealing with staff, patients, and the general public. Good communication skills and a professional telephone manner are essential, along with previous reception experience and computer skills.
Main duties of the job:
- Provide an effective reception service, presenting a welcoming image.
- Process all telephone calls to the clinic.
- Direct patients/clients to the appropriate area based on clinical/service appointments.
- Handle direct personal queries at the reception desk.
- Operate the switchboard courteously and efficiently, respecting patient confidentiality.
- Organise appointments and maintain the scheduling system for various services.
- Act on own initiative in the absence of senior staff to resolve queries/problems.
- Arrange transport for patients and liaise with the ambulance service.
- Distribute departmental post and prioritise urgent documentation.
- Provide non-clinical advice and information regarding appointments and procedures.
- Use the Trust IT system (Lorenzo) to view and retrieve patient information.
- Monitor clinic security and respond to fire alarms and emergency calls.
- Advise the Multiple Site Reception Manager/Senior Administrator of any operational difficulties.
- Work in other areas/clinics as required.
- Handle distressed/aggressive patients/clients with understanding.
- Manage internal keys and report/log maintenance requests.
- Dispense hearing aid batteries and issue welfare foods.
- Order stationery for reception and ensure proper storage.
- Carry out additional duties as deemed appropriate.
Communications and Working Relationships:
Good interpersonal skills are necessary to communicate effectively with staff, patients, visitors, and clinic users.
Person specification:
- Education to secondary school standard (GCSE or equivalent in Maths and English at grade C or above).
- Customer Care skills – NVQ level 2 or working towards.
- Experience of reception duties and switchboard in a healthcare environment.
- Ability to work within Trust Policies of Data Protection, Equal Opportunities, and Health and Safety.
- Excellent command of the English language and communication skills.
- Ability to multitask and cope in a stressful environment.
- Organised, flexible, and reliable.
- Calm and courteous when dealing with callers and requests.
- Good problem-solving skills.
