The Role
As a Hire Controller, you will be responsible for the efficient coordination and administration of daily operations within the depot. Working closely with the Deputy General Manager and wider team, you will support the scheduling, booking, and delivery of services across all divisions. You will play a key role in ensuring smooth day-to-day operations across Tankers, Road Sweepers, and CCTV units, with a strong focus on accuracy, communication, and customer service.
Key Objectives, Duties and Responsibilities
- Effectively schedule, coordinate, and allocate work to drivers across all service lines (tankers, road sweepers, CCTV units, and waste division) to support efficient daily operations.
- Maintain clear, consistent communication with drivers throughout the day, managing updates, resolving issues, and ensuring smooth job delivery.
- Accurately create, input, and manage bookings using the Team Leaf operations system, maintaining high attention to detail across all tasks.
- Monitor job progress in real time, adjusting schedules as required to meet operational demands and maximise fleet utilisation and productivity.
- Carry out end-of-day checks to ensure all completed work is accurately recorded, verified, and prepared for invoicing, including validation of job details and times.
- Deliver a high standard of customer service when handling calls, emails, bookings, and queries, ensuring professional and timely responses.
- Liaise effectively with drivers, customers, and the wider operations team to maintain alignment, resolve issues, and support service efficiency.
- Support the wider team in maintaining high operational standards, contributing to overall depot performance and continuous improvement.
- Assist with general administrative duties related to operations and service delivery.
- Adhere to all Health & Safety policies and procedures, reporting any operational issues, incidents, or concerns to management.
- Contribute positively to teamwork and a collaborative working environment.
