Support the arrangements of a range of activities, events and meetings for corporate governance, ensuring the highest standards of corporate activity are delivered and the Trust's reputation promoted. Manage programmes of work, working under own initiative, escalating issues when required. Such programmes include Fit and Proper Persons Records, Policy Management Database, Board Visibility Programme and other programmes defined by the Corporate Governance Business Manager.
Main duties of the job
- Provide high-quality administrative support to the Corporate Governance Team and the Company Secretary in relation to all key corporate governance meetings such as Executive Management Group, Senior Leadership Team, Board Committees, Board of Directors, and Council of Governors as requested.
- Maintain and update the annual schedule of meetings for the Executive Management Group, Senior Leadership Team, Board Committees, Board of Directors, and Council of Governors, supporting the Company Secretary who retains overall responsibility.
- Work with the Travel and Events team, in liaison with the Chair and Company Secretary to ensure venues are in place for all meetings of the Board of Directors and Council of Governors across the calendar of meetings and any ad hoc meetings required.
- Maintain the Board personnel register, proactively ensuring that all relevant checks are undertaken at the appropriate time, including DBS checks.
- Maintain the CoG, Board and Committee attendance records throughout the year, to inform the Trust's Annual Report and Accounts, and CoG and Committee annual reports.
- Ensure calendars are up to date and serve as the first point of contact for enquiries from the non-executive directors.
- Maintain the repository of policies and strategies on the Trust Internet, ensuring it is correctly reflected.
- Quality check submitted policies for accessibility criteria and standard template use.

Person specification
- Education and qualifications: 5 GCSEs (Grade C or above) or equivalent including English and Mathematics. Educated to diploma level or equivalent relevant experience.
- Previous experience: Administration experience in a busy office environment. Experience of working with Board level senior leadership. A good understanding of the NHS governance and compliance requirements.
- Skills, knowledge and ability: IT literate (inc. MS Forms, Word, Excel and Co-pilot). Good level of written and verbal communication skills.
