About our client and the role

Swarm Recruitment are pleased to be partnered with an Independent Wealth Management firm to support their recruitment of an experienced IFA Administrator.

They specialise in delivering highly personalised financial planning to individuals, families and business owners.

The firm is known for its relationship-led approach, taking the time to truly understand clients’ ambitions and provide tailored, long-term advice, underpinned by a strong commitment to integrity, professionalism and exceptional client service

As an IFA Administrator you will be part of the administration team supporting experienced Chartered Advisors.

This will include administration, coordination and preparation of client work.

Ensuring accuracy, task progression and communication throughout is vital, as well as working with discretion, continuous improvement and a calm and professional manner.

In addition, you will support the day-to-day management of the office and act as a professional and personable first point of contact for clients, ensuring a welcoming environment and an excellent level of service.

You will be based primarily in the Cambridge office as well as working one day a week (Tuesday) in the Stanstead office, so location is key.

Required Experience

  • Minimum 18 months experience in a similar administration role within a Financial Advice firm
  • Strong administration and organisational skills
  • Excellent rapport and relationship building skills
  • Excellent written and verbal communication skills
  • Proactive, collaborative and curious mindset
  • Ensuring service excellence at every stage of the journey and working with a methodical and calm approach

Role Responsibilities

  • Prepare accurate pre‑and post‑meeting materials
  • Provide timely responses to client queries
  • Support the onboarding process by gathering information, issuing and tracking Letters of Authority
  • Progress clients work by tracking tasks, checking status updates and highlighting areas for attention
  • Maintain clear, accurate and complete electronic client files which are audit ready.
  • Capture and update Know Your Client information across all systems and platforms.
  • Process new business (contributions, transfers and withdrawals)
  • Administration and coordination for investment‑related tasks
  • Liaise with product providers, platforms and advisers to obtain information or progress actions
  • Assemble complete and up to date annual review and catch‑up meeting packs.
  • Adhere to GDPR and data‑security requirements.
  • Ensure the CRM is accurate and up to date
  • Support a smooth and organised client journey with consistent communication and preparation standards.
  • Meet and greet clients in a professional, warm and personable manner.
  • Act as the first point of contact for clients visiting the office.
  • Take regular meter readings and assist with general office upkeep.
  • Monitor and replenish office supplies, including tea, coffee and biscuits.
  • Assist with opening and closing the office when required.
  • Help maintain a welcoming, organised and professional office environment.
