As Voltix’s business continues to grow, we're looking for a highly organised and customer-focused Commercial Support Coordinator to support the commercial team and help deliver an exceptional customer experience from initial enquiry through to contract renewal.

The Commercial Support Coordinator plays a pivotal role in supporting the entire customer journey.

Working closely with the Commercial Director, Business Development Managers and Operations team, you'll help ensure new customers are successfully mobilised, existing customers receive an outstanding level of service, and our commercial processes run efficiently.

No two days are the same, making this an ideal role for someone who enjoys variety, organisation and building relationships.

Key Responsibilities

Account Management

  • Coordinate Quarterly Service Review (QSR) meetings with existing customers.
  • Maintain regular communication with customers to ensure high levels of satisfaction.
  • Support contract renewals and customer retention activities.
  • Gather customer feedback and testimonials.
  • Identify opportunities for additional services and pass leads to the Business Development team.
  • Build strong, long-term customer relationships.

Contract Mobilisation

  • Coordinate the mobilisation of new maintenance contracts.
  • Act as the link between the Sales and Operations teams to ensure a seamless customer handover.
  • Ensure all contract documentation and customer information is complete and accurate.
  • Track mobilisation progress and resolve issues where required.
  • Deliver a smooth onboarding experience for every new customer.

Commercial & Pricing Support

  • Support the Business Development team with pricing planned maintenance contracts.
  • Prepare renewal quotations for existing customers.
  • Assist with project and quoted works pricing.
  • Produce professional quotations and supporting documentation.
  • Support tender submissions and commercial proposals.

CRM & Commercial Administration

  • Maintain accurate customer records within Salesforce.
  • Create and manage customer sites and asset information.
  • Produce reports and dashboards to support the commercial team.
  • Manage commercial documentation.
  • Support pipeline management and sales administration.

General Support

  • Handle inbound customer enquiries.
  • Coordinate customer meetings.
  • Support marketing initiatives where required.
  • Assist with commercial improvement projects.
  • Provide general administrative support to the Commercial team.

About You

Skills & Experience

Desirable

  • A full driving license and car is desirable due to location outside of Burgess Hill and for site visits.
  • Previous experience in an administrative, commercial support or customer service role.
  • Excellent communication skills.
  • Strong organisational and time management skills.
  • Good knowledge of Microsoft Office.
  • CRM experience (Salesforce desirable but not essential).
  • Experience within Facilities Management, Construction or Property would be advantageous, although full training will be provided.
  • Working Arrangement
  • This is a full-time office role with site visits – 39 hours
  • Monday – Thursday, 8.00am – 5.00pm (1 hour for lunch)
  • Friday 8.00am – 5.00pm (1 hour for lunch)

  • Training Information

Training will be with Swarm Training, a national apprenticeship provider in the UK.

The successful candidate will work towards a Level 4 Sales Executive apprenticeship which takes 15-18 months to complete.

The apprentice must complete a minimum of 6 hours per week during working hours, with monthly training sessions conducted by a tutor, with tasks assigned to be completed during those hours.
