We are currently recruiting for a Receptionist to join our head office. Reporting into the Customer Service Manager, you will be working as part of a team responsible for the service and care of our customers and colleagues. As Receptionist, you’ll be the first point of contact for customers, visitors and colleagues entering head office. You will also be answering the telephone in a warm and welcoming way and directing calls to the correct departments.

Each day you will be responsible for:

  • The post distribution of incoming and arranging outgoing post.
  • Supporting our Directors with administration tasks and preparing refreshments.
  • Ordering stationary and sundry items at Head Office.
  • Managing our electronic meeting room diary.
  • Liaising with our in-house maintenance team to report any repairs/faults promptly.
  • Providing daily support to our marketing team, ensuring data changes are updated on our database as well as the co-ordination of several monthly reports.

This is a versatile role, which requires flexibility as no two days are the same. Hours of work: Monday to Friday - 8:30am-5:30pm (1 hour lunch break).

Key responsibilities include:

  • Welcoming and signing in any visitors.
  • Taking telephone enquiries into head office.
  • Transferring calls to the correct department.
  • Dealing with day-to-day administration in head office.
  • Maintaining our high standards of presentation for the reception area, meeting rooms and public areas.
  • Organising refreshments for any visitors and scheduled meetings.
  • Ordering stationary for head office.
  • Responsible for the daily post.
  • Supporting the Customer Service Manager with customer queries.
  • Marketing data entry and collating monthly reports.

Requirements:

  • Smart and professional appearance.
  • Previous customer care experience.
  • Strong administration skills/computer literate including Excel and Microsoft Office.
  • Experience of managing your own workload as well as working in a team.
  • A keen eye for attention to detail.
  • Excellent communication skills - both written and verbal.
  • Friendly and welcoming in nature.
