The post holder will serve as a vital point of contact for the Health Team within the Multi Agency Safeguarding Hub (MASH), ensuring that colleagues with and external to SCFT, external partners, clients, and members of the public receive a professional, courteous, and supportive response to a wide range of queries and requests. Acting as a central liaison, the role requires excellent communication skills and the ability to manage sensitive information with discretion and accuracy.

Part time/job share applicants can be based in either Eastbourne or our Hastings base (Cavendish House, 1 Castle St, Hastings TN34 3AA).

Main duties of the job:

  • A key responsibility will be to organise and facilitate the flow of health-related information into and out of the MASH, maintaining secure and up-to-date records.
  • The role involves supporting the wider team by proactively managing workloads, developing processes, and driving performance.
  • Duties include gathering and sourcing information under tight deadlines, collating and presenting data for reporting purposes, supporting recruitment processes, stationary ordering, managing team inboxes, and preparing agendas, minutes, and action logs.
  • The post holder will also follow up on agreed actions to ensure continuity and accountability.
  • Collaboration with external agencies is essential to fulfil statutory requirements under the Working Together (2023) legislation, ensuring the Trust and broader health system meet safeguarding obligations.
  • The post holder will work closely with other MASH administrators across Sussex, providing cover and support as required.
  • They will participate in formal supervision and line management processes, contributing to the effective delivery of safeguarding functions across the region.
  • The post holder will be working in a team that deals with sensitive and sometimes distressing information, it is recognised that this may be emotionally challenging.

Person Specification:

Qualifications and/or professional registration: Educated to NVQ 3 level in a relevant subject or equivalent level of qualification or equivalent previous proven experience.

Experience:

  • Working knowledge of IT systems and software programmes such as Outlook, Word, Excel, PowerPoint and Access.
  • Management of electronic diaries for the team/department, arranging and changing appointments.
  • Preparation of agendas, taking minutes and actions, and following up on actions as required.
  • Experience of secretarial or administrative procedures and systems such as answering queries, progress information requests and task related problem solving.
  • Demonstrable experience in dealing with the public and dealing with sensitive and confidential information.
  • Ability to act independently within policies and procedures, referring to manager as required.
  • Ability to plan, organise and deliver administrative activities within an agreed timeframe.
  • Understanding of Confidentiality and General Data Protection Regulations.
  • Knowledge of SystmOne.

Skills and knowledge:

  • Clear communicator with excellent writing, data entry and presentation skills: capable of constructing and delivering clear information/instructions to staff and service users.
  • Ability to work without on own initiative, organising and prioritising own workloads to changing and often tight deadlines.
  • Proficient in using and monitoring Outlook - responding and redirecting as required.
  • Ability to work under pressure in a busy working environment and able to multi-task.
  • Effective team working.
  • An ability to maintain confidentiality and trust.
