We are seeking to appoint a Practice Manager to work at The Avenue Surgery in Brighton. The successful candidate will be responsible for overseeing the day-to-day operational and financial management of the practice, including:
- Accountable for the operational management of the practice
- Responsible for robust financial management, maximizing income, and ensuring a balanced budget position
- Delivery of key targets in relation to contractual requirements, service performance, governance, quality, and workforce planning
- Responsible for ensuring the workforce skill mix is in line with expected benchmarked levels, and responsible for the recruitment processes
- Lead on the implementation of agreed strategic and service developments
- Accountable for delivery of service quality improvement plans
- Act as the registered CQC manager (CQC Registered Manager)
Main duties of the job:
- Degree in Management or significant equivalent level of knowledge acquired through experience
- Ability to handle financial systems for the practice, including payroll
- Experience of managing primary care services
- Significant experience of monitoring, analysing and assessing clinical operational performance
- Ability to monitor and maintain standards of care across a range of services
- Experience of managing patient expectations, influencing commissioning decisions and developing business cases
- Experience of working in partnership with other agencies, service users, carers, the public, regulators, local scrutiny bodies etc.
- Experience of managing risk within a complex operating environment including risk assessment, risk mitigation and risk management
- Assertive and confident to challenge poor conduct and behaviours
- Highly developed IT and analytical skills particularly in Excel and preferably building complex reports using BusinessObjects or other similar business intelligence reporting package
- Excellent communication skills and proven experience of managing successful relationships with peers and clients

The following are the core responsibilities of the practice manager. There may at times be a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
- Oversee the day-to-day operations of the practice, ensuring staff achieve their primary responsibilities
- Functional management of all clinical and administrative staff
- Direct line management of relevant lead staff
- Manage the recruitment process for the practice
- Manage contracts for services delivered to or for the practice
- Lead change and continuous improvement initiatives
- Coordinate with staff ensuring they review new policies within the practice policies and procedures within the overarching Trust Policies as appropriate
- Coordinate and lead the compilation of practice reports and the practice development plans
- Develop, implement and embed an efficient business resilience plan
- Manage the financial elements of the practice, including budgets (I&E), petty cash, entering data, engaging with the finance team on invoicing and any financial queries, attending monthly finance meetings in conjunction with the Director of Operations and Finance
- Ensure the team reach QOF targets supported by the clinical team and administrative team
- Coordinate the practice diary, ensuring meetings are scheduled appropriately
- Liaise at external meetings as required
- Market the practice appropriately
- Produce a newsletter for the practice
- Work collaboratively with the Patient Participation Group
- Manage all complaints effectively following procedure
- Manage all significant events effectively following procedure and devising solutions to reduce risk and repeated occurrences
- Ensure compliance with legislation and handle HR issues accordingly with support from HR department
- Ensure personnel records are up to date via the HR system
- Manage the premises, including health and safety aspects such as risk assessments and mandatory training
- Oversee the practice IT system
- Ensure compliance with IT security and IG, including 100% of staff completing their IG mandatory training on an annual basis
- Coordinate all projects within the practice
- Ensure all staff have the appropriate level of training to enable them to carry out their individual roles and responsibilities effectively
- Maintain the practice and NHS choices websites
- Deputise for the Lead GP/ACP at internal and external meetings
- Act as the primary point of contact for NHS (E/I), ICB, community services, suppliers and other external stakeholders
- Be the registered CQC manager and maintain compliance with all legislation and meet the needs of the patients
- Oversee the preparation of weekly/monthly shift planning for Practice Staff, arranging cover (including locum cover) when necessary and inline with practice budget
- Ensure all financial claims are made in an effective and efficient manner
Person Specification:
- Essential: Degree level education or equivalent proven professional experience
- Management qualification
- Evidence of continuing professional and personal development
- Desirable: AMSPAR Qualification
