The Role & Key Responsibilities

- Key roles and responsibilities
- The Surrey Estates Strategy is a complex £250 million + programme of works with a significant number of interdependent projects and workstreams
- The role holder is pivotal to the success of the programme, as they will be facilitating the effective operational level management and governance of all workstreams within Surrey Estates Strategy.
- Ensure timely and well informed decisions through the management and quality assurance of Strategy and project documentation and Board level reporting.
- Drive and co-ordinate Strategy activity in line with plans to ensure that objectives and deadlines are met and risks and issues effectively managed.
- Take responsibility for the management of operational level project and Strategy documentation, supporting the development and maintaining appropriate document management systems and processes (including systems to ensure effective document version control) and facilitating effective compliance by others.
- Ensure excellent personal knowledge and understanding of Strategy and project plans.
Collaborate with team members to drive activity and ensure that responsibilities and deadlines are fully understood.
- Make use of documentation and reporting to assist stakeholder awareness of project and Strategy direction.
- Proactively monitor progress and identify any potential issues, seeking resolutions and alerting the Surrey Estates Strategy Director to any risks re time delays, resource bottle-necks, task dependencies etc.
- Prepare or update regular project and Strategy reports for governance meetings including dashboard reporting, risk, issue, decision, action logs and highlight reports.
- Proactively request, collate and quality assure project/ Strategy reports and other meeting documentation, checking that reports are clear and concise, cover all required areas in appropriate depth and are received in good time.
- Liaise with submitters to rectify any issues and highlight areas of concern to the Surrey Estates Strategy Director.

- Experience of working in a senior administrative / support role requiring a high degree of autonomy, proactivity and self-assurance.
- Proficiency in the use of MS Office products Excel, Word, Powerpoint and Outlook software, with the ability to manipulate spreadsheets.
- Strong oral and written communication skills and evidence of the ability to express information in a clear, concise and logical way both in formal written reports and verbally.
- Evidence of the ability to work collaboratively and to motivate and influence others towards team goals.
- Good problem solving skills and proven ability to see a wide perspective, taking account of all relevant information and perspectives when identifying issues, devising solutions.
- Strong decision making skills. Excellent organisational skills and evidence of the ability to think and act in a clear and logical way.
- Proven ability to build personal credibility, trust and respect Strong attention to detail and understanding of the importance of information precision and accuracy.
- Proven ability to take initiative and work without direction, prioritising tasks effectively and responding flexibly to changing demands under pressure.
- Ability to understand a wide variety of complex information and to identify and assess risks and resolve them
