The predicted salary is between 30000 - 42000 £ per year.
This role is within a unit where Surrey Police and Sussex Police work in collaboration, whilst remaining two separate legal entities/employers with different terms and conditions. Both Surrey Police staff and Sussex Police staff are employed in this unit on their own force terms and conditions. Successful candidates may be appointed on the terms and conditions of employment of either Surrey Police or Sussex Police, depending on organisational requirements. A discussion will be held with the successful candidate to confirm the details of location, salary, allowances and hours.
The Administration role is to support the Occupational Health Clinical Team to administer all aspects of the occupational health service to provide a high quality, effective and organised service. The administrator will provide support to the whole of the OH & Well-being team to help maintain the effectiveness of the OH service.
- Process and progress enquiries by telephone, email and post and handle all aspects of administration as required by the service.
- Assist with quality control checks, edit work as required, train new staff, and develop processes and procedures to identify and ensure best practice.
- Co-coordinate and manage the Cority diaries of the clinical team to optimise resources, provide timely appointments and responses within SLAs, and maintain health records using the electronic system; liaise with external providers (physiotherapy, psychological services, GPs, other specialists) ensuring reports are received on time and service provision runs efficiently.
- Maintain medical confidentiality and work with due diligence by following the OH process.
- With Admin Team Leaders support, manage the psychological vulnerable role screening programme.
- Undertake other duties appropriate to the grade and character of work, including similar or lesser graded day-to-day administration tasks.
Skills & Experience:
- Educated to GCSE level with relevant experience and skills as required by the role.
- Excellent customer service skills and effective communication to handle queries.
- Ability to exercise sensitivity and tact around medical and confidentiality issues, using diplomacy and initiative.
- Confidence in dealing with service users and potentially difficult calls.
- Flexibility and adaptability to changes as the service develops.
- Ability to work calmly and adapt to changing demands; strong team player with administration skills and willingness to take on new tasks and develop problem solving skills.
- Good knowledge of Microsoft Office, especially Excel, and experience with specialist data systems.
- Attention to detail and accuracy in data inputting.
- Willingness to travel to other sites on occasion.
- Ability to remain calm and empathetic.
- Previous experience in Occupational Health, medical or administrative settings.
