We are looking for a warm, organised and patient‐focused individual to join our growing fertility team. As a Patient Coordinator, you will be a key point of contact for individuals and couples beginning or continuing their fertility journey. You'll guide patients through each stage of their pathway, ensuring they feel supported, informed, and cared for from their first enquiry through to treatment completion.

About the Role

This role sits at the heart of the clinic's operations. You will work closely with consultants, nurses, embryologists, and administrative colleagues to deliver a seamless, high‐quality experience. The ideal candidate is someone who thrives in a fast‐paced clinical environment, can balance empathy with efficiency, and is confident managing multiple touchpoints across a patient's treatment plan.

Key Responsibilities

  • Act as the main contact for new and existing patients, providing clear information about appointments, treatment steps, timelines, and clinic processes.
  • Coordinate consultations, scans, procedures, and follow‐up appointments, ensuring all stages of the patient journey are well‐organised and communicated.
  • Support patients in understanding their treatment plans, associated costs, and available options, offering reassurance and guidance throughout.
  • Maintain accurate patient records and documentation in line with clinic protocols and regulatory requirements.
  • Liaise with clinical teams daily to ensure smooth handovers, timely updates, and consistent communication across departments.
  • Monitor patient progress and proactively follow up at key stages to maintain continuity of care and a positive experience.
  • Handle enquiries via phone, email, and digital platforms, responding promptly and professionally.
  • Assist with administrative tasks such as preparing paperwork, processing payments, and updating internal systems.
