Job Overview:

Working on the Vehicle Fleet Department, we are seeking a highly organized and detail-oriented individual to join our team as an Administrator for Vehicle Checks and Services. This key role is responsible for ensuring the efficient and timely maintenance of our fleet by overseeing vehicle checks, scheduling services, managing records, and ensuring compliance with regulations. The successful candidate will work closely with the Fleet Manager to ensure that all vehicles are in optimal condition and adhere to safety standards.

Key Responsibilities:

  • Vehicle Inspections: Coordinate and schedule regular vehicle checks and inspections for the fleet to ensure vehicles are in safe and operational condition.
  • Maintenance Scheduling: Schedule routine maintenance and repairs for fleet vehicles, working closely with service providers to ensure minimal downtime and efficient service.
  • Records Management: Maintain accurate and up-to-date records of vehicle maintenance, repairs, and inspections. Ensure all documents are properly filed and compliant with internal policies and external regulations.
  • Compliance: Ensure that all fleet vehicles comply with relevant local, state, and federal regulations, including safety standards, emissions testing, and licensing.
  • Reporting: Generate regular reports on the status of vehicle checks, maintenance schedules, and upcoming services for management review.
  • Communication: Liaise with drivers, service providers, and other departments to ensure the smooth operation of the fleet and prompt resolution of issues.
  • Inventory Management: Track and manage the inventory of spare parts, consumables, and tools needed for vehicle maintenance.
  • Budget Support: Assist in monitoring the fleet's maintenance budget and help identify cost-saving opportunities without compromising vehicle safety and performance.
  • Data Entry & Tracking: Input data into fleet management software, ensuring accuracy and completeness of all records.
