NHS Supply Chain currently has an opportunity for a Maintenance Reconciliation Assistant to join our team on a fixed term contract until the end of March 2026 during an exciting period of transformation, working to make it easier for the NHS to put patients first.

The Maintenance Reconciliation Assistant is responsible for supporting the business in the reconciliation of Maintenance contracts in line with robust internal governance and process. They will liaise with the wider Financial Control and commercial teams to ensure the resolution of contract queries which in turn will ensure the company’s balance sheet is a true reflection of financial activity. They will act as a business partner to the Maintenance team in the provision of financial and operational led data and reporting to drive operational day to day decision making and to drive financial compliance within the team. They will support the team in the creation of credit notes and any related contract amendment activity to ensure service contracts are in place.

Every day you will:

  • Find the most effective ways to respond to routine functional inquiries, following procedures and precedents.
  • Monitor and analyse data using established finance systems and protocols.
  • Contribute to reviewing existing operations in their own area of work, and support in generating new ideas to assist in identifying continuous improvements.
  • Maintain accurate records, case notes, and case files, in accordance with defined requirements and procedures, to ensure that information is accessible and auditable.
  • Respond to and record day-to-day incidents with suppliers and respond to routine queries from suppliers and internal customers in a timely manner to enable delivery of the agreed services and supplies.
  • Resolve operational issues and questions as they arise, to support others in delivering their duties. More complex issues will be escalated.

  • Previous experience in handling routine queries and incidents with suppliers.
  • Capable of supporting operational teams with data-driven insights to aid decision-making.
  • High attention to detail, and good communication skills, along with the ability to tackle issues proactively and elevate when necessary.
  • Familiarity with finance systems and possibly tools like Excel, ERP systems, or Oracle Fusion.
  • Ability to monitor and analyse financial and operational data.
  • Used to dealing with high volumes of work.
