A boutique property management company is seeking a 'second in command' to assist with the day-to-day running of the company, manage the team and oversee administrative operations, ensuring full statutory and building safety compliance across a diverse property portfolio. Reporting directly to the Founder, this is a key leadership role maintaining efficient office operations, ensuring compliance with current legislation and best practice, and making sure the team are 'firing on all cylinders'. This is a fantastic opportunity for a mature and responsible person who may want a change of direction or someone who is ready for a new challenge. Due to the office being based in Watford, living locally or within easy commute is important.
Key Responsibilities
- Office & Team Management
- Lead, supervise, and support the administration team to deliver a consistently high standard of service
- Manage workflows, delegate tasks, and ensure deadlines are met
- Act as the first point of contact for escalated administrative and client service issues
- Maintain a professional, efficient, and welcoming office environment
- Take ownership of compliance management across all managed properties
- Ensure all statutory requirements are met, including health & safety, fire safety, and building safety
- Maintain and monitor compliance registers (fire risk assessments, asbestos reports, health & safety inspections, etc.)
- Liaise with contractors, surveyors, and authorities to arrange inspections and remedial works
- Monitor contractor performance to ensure compliance standards are met
- Stay up to date with legislative changes and implement updates to policies and procedures
- Oversee the effective use of Microsoft Office 365, including SharePoint and Planner
- Ensure GDPR-compliant data accuracy and security
- Manage administrative processes such as correspondence, mail merges, Section 20 Notices, newsletters, and client communications
- Identify and implement process improvements to enhance service delivery
- Ensure financial and administrative records, including service charge documentation, are accurate and current
- Communicate clearly and professionally with leaseholders, freeholders, contractors, and internal teams
- Support the Managing Director with reports, meeting minutes, and compliance updates
- Represent the business professionally with clients, contractors, and regulatory bodies
- Attend Zoom meetings with boards of directors and leaseholders
Skills & Experience
- Experience in either PA/EA work, office management, compliance, or property management administration is desirable
- Proven leadership and team management capability
- Strong knowledge of building safety, health & safety, and compliance regulations in residential property management
- Excellent organisational skills and attention to detail
- Confident written and verbal communication skills, including handling challenging situations
- High level of IT literacy (Microsoft Office 365, Word, Excel, SharePoint)
- Strong numerical, reporting, and prioritisation skills
- Professional, ethical, and proactive approach with a willingness to grow with the business
