We're looking for a Operations Administrator to own the technology, automation, and operational infrastructure of a high-performing independent estate agency. This is a rare opportunity to redesign how a business operates, using modern tools, AI workflows, and data-driven decision making.

You'll work directly with senior leadership, with the autonomy to improve processes, implement automation, and build the systems that help the business perform better every quarter. This isn't an administrative role. It's a builder role.

The Opportunity

You'll take ownership of the agency's operational backbone — CRM, marketing systems, portals, reporting, data management, and AI-powered workflows. Your mission is simple: make the business more efficient, more scalable, and more intelligent. You'll identify manual processes, redesign workflows, implement automation, and create the reporting infrastructure that drives better decision-making. What You'll Be Responsible For

  • AI & Workflow Automation
    • Design and implement AI-powered workflows across the business
    • Configure and optimise tools including ChatGPT, Claude, Gemini, CRM AI features, and marketing automation platforms
    • Build automated processes for enquiry handling, client follow-up, sales progression, compliance, and reporting
    • Use integration tools such as Zapier, Make, or similar platforms to connect systems and eliminate manual work
  • CRM & Data Management
    • Own and optimise the company's CRM as the single source of truth
    • Maintain data quality and process consistency
    • Ensure listings, instructions, and customer information flow accurately across platforms
    • Improve forecasting accuracy through better pipeline management and reporting
  • Marketing Systems & Lead Generation
    • Manage portal and marketing platform integrations
    • Optimise lead capture, website feeds, and campaign performance
    • Ensure marketing activity is measurable and ROI-focused
    • Create operational systems that support social media and digital marketing activity
  • Reporting & Business Intelligence
    • Build and maintain KPI dashboards and management reporting
    • Produce accurate pipeline forecasting with clear risk indicators
    • Create visibility across business performance using data and automation
    • Deliver actionable insights that support strategic decision-making

What We're Looking For

We're prioritising systems thinking, operational excellence, and AI capability over property experience. The right person may come from operations, RevOps, SaaS, fintech, marketing operations, professional services, healthcare administration, or another process-driven environment.

Essential Experience

  • 2+ years' experience in Operations, Revenue Operations, Systems Management, Business Operations, or a similar role
  • Strong practical experience using AI tools such as ChatGPT, Claude, or Gemini in a business environment
  • Experience configuring and managing CRM platforms such as Salesforce, HubSpot, Pipedrive, Zoho, Monday.com, Reapit, Street, or similar
  • Hands-on experience building automations using Zapier, Make, n8n, or equivalent tools
  • Strong analytical and reporting skills, including spreadsheet proficiency and KPI dashboard creation
  • Excellent written communication skills
  • A proactive mindset with a passion for improving systems and processes

Desirable

  • Estate agency or property sector experience
  • Experience with Street CRM or Spectre
  • Basic coding knowledge (Python, JavaScript, SQL)
  • Experience with Airtable, Notion, Retool, or other no-code tools
  • Marketing automation experience
