About the position:
This is a 1-2, ‘right hand’ Personal Assistant position supporting 2 Co-CEO’s across the family office, their charitable foundations and private life.
The PA will enable the Co-CEO’s to be their most productive and efficient by removing obstacles and time consuming tasks. On a day-to-day basis the PA will organise meetings and travel, research and gather information and liaise internally relaying information appropriately, represent the Co-CEOs. The position also involves communicating internally with office and household staff, their PA in Asia with regard to scheduling meetings and external individuals in relation to the family office and charitable foundations. There could also be future office & house moves and therefore someone who enjoys a high level of involvement across both their business and private lives is needed.
Based in Kensington & Chelsea, the position is 40 hours a week, office based 5 days a week. The hours are 8am – 5pm or 9am-6pm depending on your preference. Although there is no expectation to work outside of these hours, the successful incumbent will need to be available and contactable out of hours and at weekends if plans change or something unexpected arises. Therefore, a career PA with a 24/7 mindset is needed.
Responsibilities include but aren’t limited to:
- Manage and maintain the Co-CEO’s busy calendars, including scheduling meetings and appointments averaging around 2-3 meetings a day.
- Planning and organising international travel across different time zones, putting together travel itineraries for business and personal trips predominantly to Singapore and Europe throughout the year
- Personal administration relating to their cars and household, such as parking permits, insurance renewals, MOTs, property searches, pest control, renovations and maintenance which will include liaising with estate agents, contractors and third parties
- Liaising with household staff on occasion to assist with Visas, travel, payroll issues and to relay information internally where needed
- There is no email management, however you will handle and prioritise incoming calls and correspondence, responding on behalf of the Co-CEOs when necessary.
- Prepare and edit reports and presentations and conduct detailed research, gathering information on various topics as requested
Person specification:
- Experience as a PA/EA supporting a C-suite professional or entrepreneur on a 1-1 basis across a mix of business and private duties
- Well educated with experience researching subjects and collecting information, to make well informed decisions
- Solutions orientated
- You will be proactive and have a natural capacity to work autonomously across a broad range of initiatives and activities, managing expectations and always being two steps ahead
- Professional, confident with a mature demeanour, a great attitude and flexible mentality
- Strong interpersonal and communication skills (written and spoken) and the ability to follow the correct protocol to complete tasks
- Tech savvy and enjoy utilising modern apps and AI
- Effective at prioritising and handling a team workload: not easily flustered by multiple tasks – “calm but efficient under pressure”
Due to the varied set of responsibilities ranging from strategic and operational support, administrative duties and managing communication flow, the position requires an individual with excellent interpersonal skills and the ability to confidently multitask and work in a fast and proactive manner.
