This is a great opportunity to support our Executive Director & Chief People Officer and Head of Reward in our London office. We seek a highly organized, proactive, and experienced Executive Assistant to provide high-level administrative support. Ideally, you thrive in a fast-paced environment, managing complex schedules and sensitive communication with professionalism and discretion.
The Global EA team has 40 employees across London, Europe, the Middle East, Asia Pacific, and North America. EAs work together to support Senior Directors, demonstrating strong connections within the company and the areas they assist. The team values collaboration and quality output. EAs also coordinate travel with an external travel company.
Primary responsibilities for this role include (but are not limited to):
• Extensive calendar management, coordinating schedules, internal and external calls, video conferencing (MS Teams), and meetings
• Efficiently manage a high volume of email correspondence, ensuring timely responses and priorization of critical communications
• Close working relationship with executive search companies and internal recruitment manager
• Coordinate logistics for executive leadership meetings, committee meetings, high level confidential interviews and business area events including lunches and dinners
• Assist in the preparation and coordination of compensation cycles, arranging budget meetings, mid-year, and year end reviews
• Support project management tasks and follow up on any actions
• Arranging international travel and itineraries
• Business assistance including formatting and working on documents, spreadsheets, and presentations
• General EA duties including completing expenses, onboarding new joiners and taking actions
• System and data management support
