Are you a highly organised, proactive professional with a flair for executive support and a strong grasp of programme and project coordination? We’re looking for a dynamic Executive Assistant & Programme Coordinator to play a pivotal role at the heart of a growing and impactful organisation. This is more than your average EA role. You’ll be the trusted right hand to the CEO, supporting the Senior Leadership Team and Board of Trustees, while also contributing to the successful delivery of programmes, projects, governance and events. Key Responsibilities:
- Executive Support & Leadership Coordination: Provide high-level executive assistance to the CEO, including diary management, communications, travel arrangements, and expense processing. Act as a key liaison for Trustees, Committees, and senior internal and external stakeholders. Support the CEO and SLT in managing strategic relationships and day-to-day operations across departments such as fundraising, communications, programmes, and operations.
- Programme & Project Coordination: Support the coordination of organisational projects and delivery of the Business Plan through regular tracking, reporting and communication. Assist in the development of project plans, timelines and risk logs for key initiatives and events. Monitor progress across projects, ensuring tasks are completed on time and interdependencies are managed effectively. Facilitate internal collaboration and help teams align on shared priorities and deliverables.
- Governance & Board Administration: Organise and administer Board and Committee meetings, including scheduling, agenda preparation, taking accurate minutes, and following up on actions. Support trustee recruitment and onboarding, maintaining relevant governance records and documentation. Ensure effective governance systems are in place and up to date, maintaining confidentiality and discretion at all times.
- Events & Programme Support: Coordinate charity and stakeholder events, both online and in person – managing logistics, liaising with speakers, and ensuring a high-quality experience for attendees. Work with the communications and IT teams to deliver seamless hybrid or online events using Zoom and other platforms. Manage timelines, budgets, and delivery plans for events and programme-related activities.
About You:
- Proven experience as an Executive Assistant, ideally with exposure to governance, programmes or project-based environments.
- Strong project and/or programme coordination skills with a structured, detail-oriented approach.
- Excellent written and verbal communication skills – particularly in preparing minutes, reports, and stakeholder communications.
- Tech-savvy, confident managing online meetings, using MS Office, and coordinating hybrid working tools such as Asana, Trello & Slack.
- CRM experience, ideally with Salesforce.
- Discreet, professional, and confident in dealing with sensitive information and high-level contacts.
- A natural problem-solver who enjoys joining the dots and making things happen.
