We are seeking a highly organised and proactive Private Personal Assistant to support an Executive. This role requires someone experienced in working with senior executives with exceptional attention to detail, strong organisational skills, and the ability to manage both personal and family-related tasks.
Key Responsibilities:
- Manage reminders and organise gifts for family birthdays, children’s parties, and other key events (including purchasing and wrapping).
- Assist with planning and coordination of family events, celebrations, and children’s activities.
- Act as the primary contact for household staff (nanny, chef, housekeeper) and manage scheduling/requests.
- Handle personal payments, paperwork, scanning, and general administration as required.
- Research and book holiday flights, hotels, and experiences.
- Provide ad hoc support for executive meet-ups, work-related gatherings, and social planning.
- Manage vehicle requirements (maintenance, insurance, servicing, etc.).
- Oversee household vendor management and supplier bookings (repairs, maintenance, etc.).
- Provide property management support, including being a point of contact for tenants and maintaining records.
- Assist with general office management tasks where required.
- Input and track key family and household events into calendars.
- Ensure reminders are set for important personal and family commitments.
- Support executive projects and organisation through tools such as Asana or Monday.com.
Requirements:
- Proven experience supporting C level executives in a EA role.
- Excellent organisational and communication skills.
- Strong proficiency with Microsoft Office (Word, PowerPoint, Excel) and task management software (Asana, Monday.com or similar).
- Flexible and reliable — not restricted to standard 9–5 hours.
- Strong work ethic with a hands-on approach.
- Must have a car for ad hoc errands and requests.
- Native/strong English speaker.
