We are seeking an experienced and highly organised Admin Manager to join a leading private healthcare clinic in London’s prestigious medical district. This is a fantastic opportunity for a proactive administrative leader to support the smooth running of a modern, patient-focused clinic. Working closely with the Centre Manager, you will oversee day-to-day administrative operations, lead a dedicated front-of-house team, and help ensure an exceptional experience for every patient.

About the role

As Admin Manager, you will take responsibility for supervising the administrative and reception teams, managing daily workflows, and supporting operational excellence across the clinic. You will play a key part in maintaining high standards of patient care, communication, confidentiality, and compliance.

Key responsibilities

  • Lead and support the administrative and reception teams
  • Work closely with the Centre Manager to ensure efficient clinic operations
  • Manage rotas, training, performance, and day-to-day task delegation
  • Act as a key point of contact for patient enquiries, feedback, and complaints
  • Oversee appointment scheduling, patient records, and clinic correspondence
  • Support patient onboarding and use of electronic patient record systems
  • Process payments, invoices, and insurance-related administration
  • Ensure compliance with GDPR, health & safety, and internal policies
  • Liaise with clinical and front-of-house teams to support patient pathways

About you

  • Previous experience in medical administration or a similar healthcare setting
  • Proven team leadership or supervisory experience
  • Strong organisational and communication skills
  • Confident using Microsoft Office and appointment management systems
  • High attention to detail and a professional, patient-focused approach
  • Experience in private healthcare is highly desirable

This is a full-time, on-site position based in London W1. Applicants must have the right to work in the UK and be able to commute reliably to the clinic.
