Salary: £30,000 - £33,000 per annum
Hours: 40 hours per week, Monday to Friday, 9.00am – 6.00pm (rota one evening per week 11.30am – 8.00pm)
Annual Leave: 20 days + public holidays
Our client is a busy, fast-paced private psychiatry practice looking for a confident, outgoing and highly organised Secretary/PA to join their close-knit team. About the role
You'll be the backbone of our clinic operations, supporting consultants and the Practice Manager day-to-day while ensuring patients receive a seamless and professional experience from first contact through to billing. The client uses Semble as our patient management system and DNA Payments for billing, and full training will be provided on both. Things can change quickly; consultants will often come to you with urgent requests and you'll need to pivot without missing a beat. You'll be working closely with the whole team, so keeping everyone in the loop and communicating clearly is just as important as getting the tasks done.
Key responsibilities
- Managing daily outpatient clinic schedules: booking and co-ordinating appointments across multiple practitioners
- Diary management and supporting the Medical Director with day-to-day PA duties
- Preparing and formatting clinical correspondence and medical records
- Handling new patient enquiries, explaining services and pricing clearly and confidently
- Raising invoices, collecting payments and issuing receipts
- Liaising with insurance companies and other third parties regarding claims
- Maintaining accurate records in our patient management system
- Ordering supplies and managing the day-to-day running of the premises
- Providing general administrative and practice support as needed

- Comfortable working with financial data: reconciling payments, invoicing and liaising with third parties
- Discreet and professional: patient and commercial confidentiality is paramount
- Audio typing experience is not required for this role
The package
Salary: up to £33,000 per annum
Hours: 40 hours per week, Monday to Friday (one evening rota per week)
Annual leave: 20 days plus public holidays
Six-month probationary period with reviews at one, three and six months
