Role Summary
The Sample Coordinator is responsible for managing the end-to-end process of handling product samples. This includes organising, tracking, and ensuring samples are ready for shoots in a timely manner. The role requires strong organisational skills, attention to detail, and effective communication with cross-functional teams.
Key Responsibilities
- Oversee the tracking of samples for both pre and postproduction for all brands
- Ensure tracking and record of all samples is up to date, accurate and communicated clearly with the studio lead team
- Maintain time management ensure samples hitting SLA’s across all brands
- Proactive in suggesting new processes to aid efficiency and taking ownership for samples
- All samples to be labelled and categorised
- Track delays or issues in the sampling process and work with relevant departments to resolve them promptly
- Work closely with the design teams to segment ‘collection’ or ‘campaign’ samples
- First point of call for on set shoot team if any sample issues including codes / Critical path problems
- Solely manage the day to day running of critical paths for all brands, scanning in all samples, checking codes, fixing any issues / discussing with the Dubai and China teams for resolutions
- Physical sample management including collecting sample deliveries daily, unboxing / hanging / cubing
- Work closely with DHL to keep track of incoming sample parcels
- Organise all samples postproduction for sample sales and supporting with sample sales monthly
- Have full understanding and knowledge of all in house samples
Key Skills
- 1 year of experience in sample coordination is desirable
- Familiarity with studio environment is essential
- Strong organisational and multitasking abilities is essential
- Excellent verbal and written communication skills
- Proficiency in using laptop along with using Microsoft and Google docs
- Detail-oriented with problem-solving capabilities
- Ability to lift and carry, move boxes/packages
- Comfortable working in a fast-paced, deadline-driven busy environment
- Attention to detail and accuracy
- Strong interpersonal and teamwork skills including building relationships
- Adaptability and flexibility to manage shifting priorities
- Proactive approach to problem-solving and process improvement
