We work with many of the UK's top social media businesses, as well as talent agencies that represent some of the world's best-known celebrities, You Tubers, and influencers.

We also own and publish The Talent Times, our own industry publication covering the creator economy.

We're looking for a highly organised, polished and proactive Executive Assistant & Operations Coordinator to become a key member of our growing team.

This is a unique opportunity for someone who enjoys variety and thrives on keeping people, projects and the business moving forward.

You'll work closely with the Directors, supporting them with diary management, meetings and day-to-day priorities, while also taking ownership of many of the operational functions that keep the business running smoothly.

No two days are the same.

One day you might be coordinating interviews, managing our social media or producing company reports, and the next you'll be organising an event, supporting a recruiter on a key hire or helping improve one of our internal processes.

We're open-minded about experience.

You may already have experience as an Executive Assistant, Personal Assistant, Operations Coordinator or Office Manager, or you could be a bright graduate or someone at the start of their career with exceptional organisational skills, strong computer literacy and a genuine desire to learn.

For us, attitude, professionalism and attention to detail are just as important as experience.

  • What you'll be doing
  • Providing day-to-day Executive Assistant support to the Directors, including diary management, coordinating meetings, arranging calls and helping manage priorities.
  • Managing company email inboxes and ensuring enquiries are responded to or directed to the appropriate person.
  • Managing job adverts across multiple job boards and platforms.
  • Producing client invoices.
  • Preparing contracts and handling general company administration.
  • Managing our Linked In company page and SUMO Instagram account.
  • Supporting our internal hiring process.
  • Providing recruitment administration across multiple recruitment teams.
  • Supporting The Talent Times, our industry news platform.
  • Producing weekly and monthly business performance reports.
  • Maintaining and improving the quality of our CRM and database.
  • Answering incoming telephone calls and responding to enquiries.
  • Managing suppliers and external vendors.
  • Organising company meetings, team socials and company events.
  • Taking notes during company meetings and sharing agreed actions.
  • Helping identify ways to improve our internal processes and overall efficiency.

Previous experience in administration, executive support, operations, recruitment or marketing would be advantageous, but isn't essential.
