We are recruiting on behalf of a well-established specialist law firm in Marlborough. The firm is known for delivering an excellent standard of client service and offers a friendly, professional and collaborative working environment.
They are looking for an organised and dependable Legal Secretary / Administrator to support the legal team and help ensure the office runs smoothly. This is a varied position combining general office administration with legal secretarial duties.
Your responsibilities will include:
- Providing secretarial and administrative support to fee earners
- Managing diaries, arranging appointments and monitoring important deadlines
- Answering telephone calls, managing shared inboxes and taking accurate messages
- Preparing, formatting, proofreading and amending correspondence, forms and legal documents
- Producing documents from templates and digital dictation
- Preparing client packs and document bundles
- Arranging signatures and ensuring documents are correctly filed and circulated
- Communicating professionally with clients, counsel, courts and other third parties
- Opening, maintaining and closing client files
- Keeping the firm’s practice management system accurate and up to date
- Completing conflict checks, identification checks and file-opening procedures
- Assisting with time recording, billing, expenses and other matter-related administration
- Filing, scanning, copying and preparing routine correspondence
- Greeting clients and preparing meeting rooms
- Monitoring office supplies and liaising with external service providers
- Providing administrative cover across the wider team when required
- Handling confidential client information in accordance with GDPR and internal procedures
The successful candidate will ideally have:
- Previous experience within office administration or legal secretarial support
- Experience working within a law firm or professional services environment would be advantageous
- GCSE English and Mathematics, or equivalent
- Strong organisational and time-management skills
- Excellent attention to detail and accurate proofreading abilities
- Confidence using Microsoft Office and digital dictation
- The ability to learn new case or practice management systems
- A professional, approachable and discreet manner
- Strong written and verbal communication skills
- The ability to manage multiple priorities and work well under pressure
- A positive, proactive and team-focused approach
