The purpose of the Customer Service Representative position is to provide administrative and general office support to the branch. This includes being the first point of contact for internal and external customers entering our facility.
ESSENTIAL JOB DUTIES:
- Provide customer service to all visitors and contacts, greeting them appropriately by phone, email, or in person. Determine their needs and direct them to the correct department or person.
- Disperse all faxes.
- Communicate with the Billing department, Accounting, and other front-end administration to relay information about COD accounts, on-hold accounts, and other relevant details internally and to field personnel.
- Assist Human Resources with onsite protocols, including sending payroll information before deadlines and preparing new hire materials. Return copies of HR documentation after orientation.
- Utilize assigned organizational systems effectively, assisting team members and acting as the local SME.
- Process Certificates of Insurance (COI) requests, including additional insured requests, according to company policies.
- Manage incoming and outgoing mail, including preparing ground mail and UPS shipments, and distributing received mail.
- Track and order office supplies, obtaining necessary approvals from Corporate.
- Process customer payments as needed and perform collection responsibilities if assigned.
- Maintain office cleanliness.
- Scheduling Responsibilities (as assigned): Process daily work order reports, coordinate technician schedules, manage the master schedule, and resolve scheduling conflicts.
- Perform other duties as assigned.
QUALIFICATIONS:
The following are the minimum qualifications; equivalent combinations of education, training, certifications, and experience may be considered.
Education, Training, Certifications:
- High School Diploma or GED required.
Experience, Knowledge, Skills:
- At least 2 years of customer service experience.
- At least 2 years of professional computer experience.
- At least 1 year of front desk experience.
- Preferred: 1 year of scheduling experience with knowledge of local zip codes and geographic areas.
Communication Skills:
Ability to read, write, and communicate effectively in English with employees and customers.
Systems and Software Skills:
Proficiency in operating computers and Microsoft Office applications (Excel, Word, Outlook).
Other Qualifications:
- Valid driver's license with an acceptable driving record.
- Ability to comply with drug, alcohol, and background screening policies, including customer-specific requirements.
