The Associate Producer supports the delivery of Summerhall Arts’ year-round theatre and live performance programme, while playing a central operational support role in the delivery of the Summerhall Edinburgh Fringe programme each August. The role consists of artist/company liaison, producing support, programme/company administration, performance coordination as well as basic marketing delivery.
Working closely with the Programming, Marketing, Technical, Press and Operations teams, the postholder will help ensure excellent communication, smooth project delivery, and strong audience-facing presentation across both festival and year-round activity. The role is designed as a flexible, developmental producing position within a small arts charity, suitable for an early-career arts administrator or producer seeking hands-on experience across producing, programming support and festival operations.
Core Responsibilities- Project & Artist Support
- Support the planning and delivery of year-round theatre, artist development and live performance projects
- Act as a point of contact for artists, companies and collaborators
- Administration
- Managing communications between artist/companies and our departments
- Assist with contracting and other logistics, documentation and admin where required
- Coordination of timelines and internal communications
- Support evaluation and audience feedback gathering and co-ordination of data for reporting to funders
- Monitor earned income from year-round performance programme
- Event Delivery
- Liaise with technical, ticketing, front of house and marketing teams
- Provide front-facing operational support to visiting companies and artists during the festival period, including occasional evening and weekend working
- Support visiting artists during get-ins, rehearsals and performances – if required
- Attend events as required, including occasional evenings/weekends – if required
- This is a vital role supporting the Programme and Marketing teams, our visiting companies and artists, and the wider venue.
- Act as a primary liaison point for visiting companies and artists, coordinating communication and information flow across Programming, Marketing, Operations, Press, Box Office and Technical teams
- Coordinate artist onboarding, welcome materials and the collection of operational, technical, marketing and access information
- Maintain accurate programme, scheduling and company information across festival systems
- Coordinate artist accreditation, passes, welcome materials and related company logistics
- Support communication and coordination across Programming, Marketing, Box Office, Press, Technical and Operations teams
- Liaise with visiting companies to gather and manage marketing, technical and access information
- Support accessibility coordination including captioning projects, access listings and content warnings
- Assist with contracts, invoicing, programme updates and operational troubleshooting
- Draft and distribute company communications and festival updates
- Assist with practical delivery of performances and festival activity as required
- Coordinate accessibility administration including captioning support, access listings and audience information, ensuring artists provide accurate information in a timely manner
- This should remain explicitly “basic marketing support” rather than a specialist marketing role.
- Content & Promotion
- Coordinate distribution of promotional materials across the venue
- Assist with artist mailouts and audience communications
- Creating short-form video and image content for Summerhall Arts’ channels.
- Support social media activity and scheduling
- Coordinate on-site postering and venue promotional displays
- Assist with updating Festival website content
- Assist the Marketing team with delivery of promotional materials and partner content
- Support promotional activity linked to Summerhall Arts events and initiatives
- Campaign Support
- Work with the Marketing Manager to ensure companies provide required promotional assets
- Support the scheduling and coordination of festival communications and social media activity
- Assist with ensuring consistency across festival communications and materials

Skills- Experience working within an arts, theatre, festival or live events environment
- Experience coordinating projects, events or productions
- Strong organisational and administrative skills, with the ability to manage multiple priorities and deadlines
- Excellent written and verbal communication skills
- Confidence working collaboratively with artists, creative teams and colleagues across different departments
- High attention to detail and ability to maintain accurate records and schedules
- Good digital and IT skills, including Microsoft Office / Google Workspace and shared systems
- Ability to work calmly and flexibly within a fast-paced live events environment
- Experience working within the Edinburgh Fringe or other festivals
- Experience supporting theatre production, producing or live performance activity
- Experience using ticketing, CMS or email marketing systems such as Red61, WordPress or Mailchimp
- Experience supporting social media or promotional activity
- Awareness of accessibility and inclusion within live performance
- Knowledge of Scottish theatre and independent performance sector
- Collaborative, adaptable and proactive approach to work
- Friendly and professional manner with artists, audiences and colleagues
- Enthusiasm for contemporary performance and artist development
