The Transfer Coordinator, alongside the Transfer Manager, is responsible for the efficient organization and execution of airport transfers. These transfers play a crucial role in the overall success of the summer schools, as they form students' first and last impressions through the welcome and farewell provided by our staff at the airport. Over the summer, nearly 100 staff members will be involved in transferring more than 1,000 students to and from the 9 summer school sites. Ensuring smooth transfer days requires meticulous organization, thorough preparation, and strong management.

The Transfer Coordinator, in collaboration with the Transfer Manager, will oversee a team of Transfer Staff on transfer days, working closely with Summer School Activity Leaders, College Mentors, Teachers, and Tutors. A key aspect of the role involves preparing for transfer days at the airport by briefing Transfer Staff and other involved personnel, as well as maintaining clear and effective communication with both the team and the Transfer Manager. Additionally, the Transfer Coordinator will contribute to the overall management and leadership of the summer school, requiring a strong understanding of its operations and a readiness to address any situations as they arise.

Remuneration:

The salary for the Transfer Coordinator is £890 per week (subject to tax and national insurance), paid weekly in arrears. This sum includes a holiday allowance of 12.07% of basic pay (total £95.85), plus accommodation at the summer site.

Hours of Work:

A normal working week will consist of up to 65 hours per week, primarily on core transfer days (Saturday, Sunday, Monday). Transfer days involve very early starts and late finishes. Training to the airport may be required the night before. Outside core transfer days, you may be based at an SBC summer school for ad-hoc transfer duties and other Summer School responsibilities. One full day off per week is provided.

Main Duties:

  • Manage the Transfer Team, including overseeing induction and weekly briefings.
  • Support preparation of transfer days well in advance.
  • Use Salesforce to plan, check and confirm flight details for all students requesting transfers.
  • Prepare transfer spreadsheets with flight, terminal, coach or taxi information, timings and staffing data.
  • Brief managers and all staff involved in transfer days, ensuring clear role understanding.
  • Communicate with coach and taxi companies to confirm numbers and arrival/departure times.
  • Be present at Heathrow Airport during all transfer days and at other required times.
  • Ensure all staff have flight details, terminal maps and relevant telephone numbers.
  • Handle any sensitive situations that arise.
  • Commit to safeguarding and welfare of students in your care.
  • Adhere to all health and safety measures, including COVID protocols, risk assessments and other policies.
  • Engage with staff and students in a friendly, professional manner.
  • Deliver training to staff on transfer procedures during induction days.
  • Oversee hotel and taxi bookings for the Transfer Team and other transport-requiring staff.
  • Work with Finance to submit receipts and information for all transfer expenses.
  • Respond to emergency situations, whether on duty or not.

General Duties:

  • Assist with student transfers for arrivals and departures at airports, train stations and taxis.
  • Accompany and supervise students on off-site excursions and activities.
  • Actively supervise and interact with students during meal and break times.
  • Empower students to engage in the programme, fostering independence, confidence and social skills.
  • Demonstrate flexibility as required in residential work.
  • Help ensure students adhere to college rules.
  • Engage with students in a friendly, professional manner.
  • Respond to emergency situations at all times.
  • Provide feedback on experiences during and at the end of the summer.

About You:

Essential: You will need excellent time-management and multitasking skills, as you will be welcoming students while juggling several steps ahead for delays or cancellations that may affect your schedule. You should remain calm, level-headed and project a welcoming, reassuring image to arriving students.

Desirable: Experience of residential international summer schools; Experience of the UK boarding environment; Experience working within the education sector.
