We are looking for an Electoral Services Officer to join our Electoral Services Team.
If you share our values and you are motivated to make a difference for our residents, clients, communities and democratic processes, we would love to hear from you.
This is an exciting opportunity to play a key role in supporting projects, governance activities and election delivery across our councils. The role offers a varied workload, working alongside colleagues, councillors, senior leaders and external partners to help deliver high-quality services and continuous improvement.
About the role
As an Electoral Services Officer, you will play a key role in supporting the delivery of electoral registration, annual canvass activities, and the administration of national, local and other elections and referendums across Babergh and Mid Suffolk.
The role involves working within a small, professional team responsible for ensuring that electoral services are delivered accurately, efficiently and in accordance with legislative requirements and statutory deadlines.
Using Microsoft Office 365 applications, including Excel, SharePoint and Outlook, alongside reporting and business intelligence tools such as Power BI, you will help manage data, produce insights, support decision-making and contribute to the successful delivery of projects, governance activities and statutory electoral functions.
The role requires a proactive and resourceful approach, with the ability to work independently, solve problems and research information to support effective service delivery.
Key responsibilities include:
-
Providing support to the coordination and delivery of a range of electoral services.
-
Process applications and correspondence relating to electoral registration, absent voting, voter identification requirements and related electoral matters.
-
Maintain records, databases, SharePoint sites and document management systems, ensuring information is accurate, secure and compliant.
-
Analyse data, maintain spreadsheets and produce reports to support performance monitoring and decision-making.
-
Assist with the preparation and delivery of key electoral activities, including local and national elections, referendums and polls.
-
Support financial administration, including budget monitoring, orders and invoice processing.
-
Assist with governance and compliance activities, including Freedom of Information, Data Protection, Equality Impact Assessments and complaints management.
-
Work collaboratively with colleagues, partner organisations, suppliers and external agencies to improve service delivery.
This is a career grade post. Appointment at the different entry levels will be dependent upon knowledge, skills, competency and business need at the time.
About you
We are looking for someone who is organised, professional and able to work effectively across multiple priorities.
You will have:
- NVQ Level 3, A-Level qualification or equivalent knowledge gained through experience.
- Knowledge of electoral law and/or electoral processes.
- Strong organisational skills and excellent attention to detail.
- The ability to analyse information and develop practical solutions to problems.
- Strong written and verbal communication skills with the ability to work with a wide range of audiences.
- Good knowledge of Microsoft 365 applications, particularly Excel, Word, Outlook and SharePoint, with an interest in developing skills in tools such as Power BI and Power Automate.
- Experience of producing reports and working with data.
- The ability to work independently, use initiative and manage competing priorities, demonstrating strong problem-solving skills and the confidence to seek out information and solutions when faced with unfamiliar challenges.
- A flexible and collaborative approach, with a willingness to learn new skills and availability for unsociable and extended hours within timetabled election periods.
Experience of working within local government, Electoral Services, governance or project environments would be advantageous but is not essential.
