Sue Ross Recruitment are working on behalf of a well-established and growing organisation to recruit a highly organised Project Administrator to join their Project Management team.

This is an excellent opportunity for an experienced administrator who enjoys coordinating multiple projects, working closely with clients and stakeholders, and playing a key role in ensuring projects are delivered on time and to the highest standards.

As Project Administrator, you will provide essential administrative and project coordination support across a portfolio of client projects.

From preparing quotations and maintaining project schedules to supporting Project Managers and liaising with clients, contractors and internal departments, you will help ensure the smooth and efficient delivery of projects from initial enquiry through to completion.

Key Responsibilities

  • Support the delivery of client projects from quotation stage through to completion.
  • Maintain accurate project records, documentation and schedules using business systems.
  • Monitor project timelines and key milestones, proactively highlighting risks, issues or delays.
  • Keep project schedules up to date following changes from clients, contractors or internal teams.
  • Assist Project Managers with project administration, reporting and coordination activities.
  • Review client drawings, plans and specifications to identify project requirements.
  • Prepare accurate quotations, including equipment, materials and associated project costs.
  • Manage quotation revisions, approvals and updates following project changes.
  • Build strong working relationships with clients, contractors and colleagues.
  • Respond professionally and efficiently to client enquiries.
  • Track project progress and produce project updates and status reports.
  • Follow up outstanding actions, orders and key project dates.
  • Produce and maintain project documentation, including health and safety information where required.
  • Support company compliance procedures, quality standards and ISO processes.
  • The Successful Candidate

Essential

  • Previous experience in an administration, project support or customer-focused role.
  • Strong organisational skills with the ability to manage multiple tasks and priorities.
  • Experience working with project documentation, schedules or business systems.
  • Proficiency in Microsoft Office applications, particularly Excel, Word and Outlook.
  • Excellent communication skills with confidence liaising with internal and external stakeholders.
  • High attention to detail and commitment to accuracy.

Desirable

  • Experience within project administration, construction, engineering, facilities management or a related sector.
  • Experience using Net Suite, Revu or similar project management systems.
  • Knowledge of health and safety documentation.
  • Experience working within an ISO-accredited environment.
