Sue Ross Recruitment are working on behalf of our client, a highly respected regional firm of solicitors, to recruit an Administration Shared Services Manager. You will be responsible for leading and managing an Administration Shared Services Team (currently a team of 3 but with plans for expansion) ensuring the delivery of high quality, efficient administrative support function to the wider team. The role involves overseeing operational performance, driving continuous improvement, supporting your people's development and acting as a key liaison between teams, clients and business partners.

Responsibilities:

  • Provide day-to-day people leadership and management of the Team.
  • Monitor, review and report on team performance against key service legal objectives.
  • Allocate resource effectively, ensuring balanced workloads and timely delivery of support services.
  • Maintain oversight of operational costs and contribute to budgeting and cost control efforts.
  • Provide technical guidance and act as an escalation point for complex matters.
  • Support the ongoing development of team members through coaching, mentoring and training.
  • Lead on process improvement initiatives to streamline workflows and enhance service delivery.
  • Build and maintain strong relationships with key stakeholders, including internal departments, clients and external partners.
  • Ensure compliance with firm-wide policies, procedures and regulatory requirements.
  • Ensuring all administrative functions are delivered efficiently and to a high standard.
  • Monitoring workflow from the Shared Services inbox and ensuring timely task delegation and completion.
  • Overseeing and ensuring dictations are actioned in a timely manner maintaining high levels of accuracy and quality.
  • Identifying training needs and ensuring team capability in handling complex tasks such as client account queries, invoice raising and legal document formatting.
  • Overseeing communication processes to ensure timely and professional interactions with clients and internal stakeholders.
  • Leading by example in maintaining meticulous records, documentation and use of systems.
  • Supporting the implementation of digital tools and templates, ensuring the team uses accurate, up-to-date documents and follow firm style protocols.
  • Administrative support where necessary to support the business needs.

Candidate Requirements for the Administration Manager:

  • Administration team management
  • Experience of leading change initiatives
  • Experience working within the legal sector, or similar professional services (accountancy, surveyors, consultancy etc)
