Our client is a fast growing and ambitious luxury travel organisation, who are now looking for an experienced Operations Support Executive to join them. This is a pivotal role at the heart of their Operations team and the successful candidate will take ownership of the operational administration that underpins every departure — from preparing detailed passenger manifests and managing sensitive guest information, to acting as the dedicated link between their Reservations team and hotel partners worldwide.
This is far more than an administrative position. As the business implements its new CRM system, you will become the champion for its rollout within Operations: shaping requirements, testing functionality, ensuring data quality, and training colleagues so the system delivers real efficiency for the department. Role of Luxury Travel Operations Support Executive:
- Prepare accurate, detailed passenger manifests, ensuring documentation is complete and delivered to agreed deadlines.
- Act as the primary point of contact between the Reservations team and hotel partners for pre- and post-tour additional night requests.
- Check rates and availability with hotels, negotiate where appropriate, and turn around requests quickly to reduce the administrative load on the wider Operations team.
- Benchmark hotel rates against contracted and market rates to support negotiations and ensure value for money.
- Build and maintain a central database of hotel and supplier contacts, contracted rates and booking terms.
- Maintain operational trackers and produce regular reporting for the department — e.g. booking status, additional-night requests, outstanding passenger information and supplier response times.
- Create and maintain standard operating procedures, templates and a departmental knowledge base to streamline recurring tasks and support consistency across the team.
- Act as the Operations department's champion and super-user for the implementation of the company's new CRM/CRS system.
- Support data cleansing and migration, ensuring passenger, supplier and booking data transfers accurately into the new system.
- Participate in user-acceptance testing, log and track issues, and verify fixes ahead of go-live.
- Develop training materials and train Operations colleagues on the new system, embedding best practice and driving adoption across the department.
Skills required for the role:
- Proven experience in operations administration or support within travel, hospitality or a related sector.
- Exceptional accuracy and attention to detail, with a strong quality-assurance mindset — comfortable owning data where errors have real consequences.
- Experience liaising with hotels or suppliers, including checking rates and availability and resolving queries.
- Strong working knowledge of Excel and/or Google Sheets (formulas, pivot tables, data checking and reporting).
- Experience with CRM and/or CMS platforms, and confidence learning new systems quickly.
- Excellent written and verbal communication, with the ability to coordinate across internal teams and external partners.
- Well organised, able to manage competing deadlines independently, and calm under the time pressures of live tour operation.
- Discretion and professionalism in handling sensitive personal data.
