What we are looking for:
About the Role:
We are seeking a dynamic and highly organised Event Coordinator to support the planning and execution of live, hybrid, and virtual events. This role is ideal for someone with a passion for delivering seamless experiences, excellent attention to detail, and the ability to juggle multiple projects in a fast-paced environment.
Key Responsibilities:
- Assist in the planning, coordination, and execution of events from concept to completion
- Liaise with vendors, venues, and suppliers to secure the best deals and ensure timely delivery
- Champion and organise logistics including travel, accommodation, shipping, catering, and AV requirements
- Assist onsite setup and troubleshooting during live events
- Manage event timelines, schedules, and production documents
- Ensure compliance with health & safety regulations and permit requirements
- Assist with post-event reporting, feedback collection, and debrief
- Maintain and update event budgets and track invoices and expenses
- Work with internal teams including marketing, creative, and operations
- Book and organise speakers and handle guest liaison, managing communications and materials
Requirements:
- 1β3 years of experience in event coordination or a similar role (agency or in-house)
- Excellent project management and multitasking skills
- Strong interpersonal and communication abilities
- Confidence in handling logistics, budgets, and schedules
- Proficiency in Microsoft Office, Google Workspace; experience with project management tools a plus
- Ability to work flexible hours and travel as required for events
- Calm under pressure, solutions-focused, and enthusiastic team player
- Experience working with corporate clients or in the B2B events space
- Familiarity with sustainability practices in event planning
