What will you be doing?
The Senior Document Controller ensures that the projects technical documentation is properly checked and formatted. You will setup the document process within the project and ensure the documentation flow is fluid and tracked.
- Setup the documentation process and issue the Project Document Control Procedure
- Setup the Electronic Document Management System (EDMS)
- Cooperate with Engineering and Planning disciplines in order to fill document numbers and format information in the Master Document Register (MDR). Ensure that all documents are referenced
- Cooperate with SCM in order to fill document numbers and format information in the
- Suppliers Document Registers (SDR). Ensure that all documents are referenced
- Present the document process and format at supplier Kick-Off Meetings
- Ensure that documents format is checked
- Check and update metadata in the EDMS
- Ensure that updated documents are available for project team
- Ensure that process given in the project Document Control Procedure is followed
- Dispatch documents for internal review or approval and follow-up internal flow
- Ensure that transmissions to external stakeholders are tracked
- Ensure that official return comments are received, tracked and dispatched
- Reforecast document issue dates in liaison with Engineering and Planning disciplines
- Create and issue status reports to project team and to client. Improve reporting for other disciplines specific needs
- Ensure that Final Documentation is compiled
- Supervise project documentation archiving (hard and electronic copies)
- At project end, present a Lessons Learnt to the Document Control department
What experience would we like you to have?
- Fluent in English
- Expertise in MS Word, Excel and Adobe Acrobat software
- Good knowledge of IT network and information systems
- Knowledge of documentation flow and process
- Knowledge of documentation planni
- Advanced knowledge of EDMS
- Team leadership
- Proactive in report monitoring
- Basic knowledge of other disciplines (engineering, SCM, Quality, HSE)
