Job Description
We are delighted to be seeking a pro-active detail orientated Logistics (Export) Co-ordinator to join our SCM Logistics team. This is a permanent staff role, based in the offices of our Westhill Workshop & Logistics facility.
Reporting to the Logistics Team Lead, the role offers a comprehensive and challenging scope of work involving a variety of activities. It is an integral part of the logistics team which executes activities supporting Subsea7's global projects.
Practical experience with SAP S/4 Hana is essential, along with UK Exports compliance processes and procedures.
Applicants should demonstrate efficient IT and administrative skills, the ability to build productive business relationships, and have experience within a materials / equipment logistics environment.
As a central provider of key information for export declarations, the Logistics (Export) Co-ordinator plays a pivotal role in ensuring the successful management of Customs formalities. You'll pro-actively work to streamline processes and enhance operational efficiency, while liaising with colleagues (SCM, Projects, Warehouse and Quayside) and external providers.
While primarily based in Westhill, applicants should be flexible for periods of work undertaken from our Tullos site in Aberdeen.
What will you be doing?
- Managing all aspects of the export process, including customs clearance of shipments from vessels, global worksites and third-party suppliers in accordance with the most appropriate HMRC regime and ensuring compliance with all legal and regulatory requirements.
- Responsible for the accurate and compliant exportation of licensable items, including the identification and application of appropriate export licenses based on destination and item classification.
- Communicating with internal customers and external logistics providers throughout the export process to coordinate timely and efficient delivery of goods.
- Proactively support internal customers namely Projects, Offshore Resources, Asset owners and warehouse with performance of all assigned export activities.
- Track shipments to ensure on-time delivery.
- Maintain accurate and up-to date records of all exported goods and equipment on designated SharePoint system.
- Process all third-party freight partner costs by creation of purchase requisitions / service entries in line with internal process requirements as defined in our Standard Operating Procedure.
- Attend and make effective contribution to monthly meetings.
- Contribute to the development and improvement of systems, procedures, and processes.
- Perform any other relevant duties as required to support successful business delivery.
- Part of the out of hours emergency cover as part of an on-call rota, normally 1:4.
What experience would we like you to have?
- Previous experience within Export support role, within an operations / logistics environment is essential
- Deep understanding of UK Export Control regulations, and candidates demonstrable experience in navigating licence classification via OGEL and Goods Checker.
- Experience with SAP S4/Hana is essential, Freight Order/Freight Unit is preferrable.
- Effective communication skills, both verbal and written, maintains positive and collaborative relationships with a diverse group of stakeholders, vendors, and colleagues.
- Demonstrates ability to manage multiple priorities simultaneously, effectively transitioning between tasks while maintaining momentum and adapting to shifting demands.
- Numeric and analytical skills and the ability to work with detail and accuracy.
- Pro-active planning and organising skills, able to identify and effectively prioritise workload and successfully meet multiple, often competing deadlines.
- Demonstrates initiative to work unsupervised, will support wider team activities.
- Excellent organisational and general computer skills, particularly with Microsoft Outlook and Excel
- Ability to work to tight deadlines in a fast paced and changing environment and flexible to complete activities within scope of work.
