Are you an experienced HR Assistant, with a track record in providing high quality, customer focused, administrative services and business support within a fast-paced commercial environment?
KEY RESPONSIBILITIES
- The HR Assistant is the first level of professional HR business support, with a focus on providing timely and accurate end to end HR administrative services and delivering excellent service to internal and external customers.
- Provide full administration support across the work of the HR department, including but not limited to, the end to end recruitment process – drafting and posting job adverts, shortlisting applications, scheduling interviews and preparing interview questions, scanning and filing relevant documentation, preparation of contracts/new start packs and delivering a comprehensive induction programme for new starts.
- Manage and oversee Right to Work processes including visa applications as required.
- Draft relevant correspondence throughout the employee lifecycle e.g. probation/job changes/leavers.
- Co-ordinate and manage the handover of all requisite paperwork for payroll input, updating and maintaining organisation charts as required, and ensuring HR data input is accurate and well maintained.
- Liaise with business managers to monitor and confirm progress during probation periods, escalating to HR Business Partners where performance support is required.
- Co-ordinate logistics and implementation of a range of projects and work streams in support of delivery of the HR strategy, such as employee wellbeing and engagement, diversity and inclusion, training and development.
- Collate, track and analyse HR data, presenting information in a clear and meaningful way to both HR colleagues and the wider business.
- Undertake exit interviews and monitor trends in reasons for leaving.
- Assist in disciplinary and grievance procedures as required including minute taking and drafting related correspondence.
- Provide first-line business support for internal and external enquiries via the HR inbox, including responding in a helpful, professional, timely and accurate manner.
- Building effective working relationships and understanding of the business to be able to give support and advice to business managers on the application of HR policies and processes.
- Booking meeting rooms/venues, catering, travel, accommodation, equipment, stationery and facilities/room set up as required.
- Provide training and advice on the use of HR systems to the business as required.
- Continuously seek to improve ways of working and demonstrate a proactive interest in the broader HR landscape, seeking out external HR best practice.
- Assist in any other aspect of the work of the company as reasonably required.
QUALIFICATIONS
- Degree qualified in a related discipline.
- CIPD Level 3 or above.
SKILLS AND EXPERIENCE
- Demonstrable experience in a business-facing, generalist HR support role within a fast-paced commercial environment, providing high-quality, customer-focused HR administration across the full employee lifecycle.
- Proven experience supporting end-to-end recruitment and onboarding processes, including job evaluation, drafting job adverts and interview questions, advertising roles, shortlisting, coordinating and undertaking interviews, preparing contracts and new starter documentation, developing and delivering structured inductions and welcome sessions.
- Experience drafting clear and accurate HR correspondence throughout the employee lifecycle, including probation outcomes, contractual changes and leavers.
- Experience overseeing probation periods and supporting managers by monitoring progress and escalating performance support where required.
- Experience supporting a range of HR activities and projects, including wellbeing initiatives, diversity and inclusion, training and development, Occupational Health diary coordination and long-term absence support.
- Demonstrable experience collating, maintaining and analysing HR data, producing accurate metrics, identifying trends (including exit interview data) and presenting information clearly for HR colleagues and the wider business.
- Strong knowledge, understanding and interest in HR best practice and employment law, with a proactive approach to continuous improvement and ways of working.
- Excellent interpersonal, verbal and written communication skills, with the ability to build effective working relationships and provide first-line HR advice and support to internal and external stakeholders.
- High level of organisational ability and attention to detail, with strong IT skills (including MS Office), and a self-starter, solutions-focused approach to managing a varied, deadline-driven workload.
