THE ROLE
The PA/Team Co-ordinator will provide high quality PA support to the Commercial Director and work closely with STV Commercial’s senior management team, to support the co-ordination of projects to ensure timely delivery, clear communication, and effective outcomes. This role combines PA responsibilities with hands-on project coordination, ideal for a highly organised individual who thrives in a fast-paced, changing environment. The role requires strong judgement, discretion, excellent communication and the ability to manage multiple priorities while working closely with senior stakeholders and teams.
KEY RESPONSIBILITIES
- Provide proactive, confidential support, managing diaries, meetings, travel, and communications.
- Prepare meeting agendas, packs, presentations, and reports including taking accurate minutes and tracking actions.
- Act as a key point of contact across both internal and external stakeholders, facilitating and managing necessary communications.
- Support business strategies through information gathering, briefing notes and follow-up actions, manage and update CRM system, providing accurate timely data.
- Handle sensitive information with the highest level of discretion and professionalism.
- Coordinate multiple business projects from initiation through to delivery.
- Maintain project plans, timelines and status updates tracking projects progress, risks, opportunities and milestones.
- Ensure projects are delivered within agreed timescales and scope.
- Maintain and continuously innovate efficient administrative and project management processes.
- Efficiently manage workload, displaying a high degree of collaboration and initiative.
- Provide exceptional service to STV clients by understanding their business needs.
- Act as a positive brand ambassador for STV at all times, including hosting studio tours and client events.
- Understand the unique strengths of STV’s platforms and how they deliver results.
- Maintain up to date knowledge of media industry trends and audience insight.
- Assist in any other aspect of the work of the Company as reasonably required.
SKILLS AND EXPERIENCE
- A minimum of 2 years demonstrable related experience in a PA or secretarial business support role within a fast-paced commercial environment is essential.
- Strong organisational and diary management skills with excellent attention to detail.
- Demonstrable experience supporting senior stakeholders.
- Proven ability to handle sensitive and confidential information.
- Proactive approach to daily responsibilities, ability to manage a high volume of work and multiple deadlines effectively whilst maintaining high levels of accuracy.
- Excellent communication and interpersonal skills to work collaboratively and develop effective relationships with internal and external stakeholders.
- Advanced IT skills particularly MS Office (Outlook, Word, Excel) and proficient using a Mac (Keynote).
- Experience of basic project management methodologies and tools is essential.
- Comfortable working independently and as part of a team.
- Confident working in fast-paced environment with a solutions-focused mindset.
- A full clean driving license is desirable.
