To be a member of the Centre’s Student Experience Team with accountability for data management, assessments and academic administration, compliance (student enrolments and attendance). To implement Study Group’s policies, standard operating processes and procedures, with the purpose of ensuring staff and students are fully supported to maximize student outcomes and satisfaction. The post holder will report to the Deputy Director - Student Experience and will line manage the Data & Operations Coordinators and any Student Experience Officers in addition to carrying out administrative tasks.
ABOUT THE ROLE
- Coordinate and motivate the Student Experience Data and Operations Coordinators and any Student Experience Officers to contribute to ensuring the best possible student outcomes and student experience.
- Liaise with the Deputy Director – Student Experience to ensure front desk/reception areas are covered during working hours and allocate workload in busy periods or during absence of the Student Experience Team.
- In liaison with central teams contribute to the continuous improvements of processes and communication to enhance the student experience.
- Provide effective performance management of direct reports, including setting personal objectives and KPIs; regularly reviewing performance of direct reports; and conducting formal performance reviews according to company policy and procedures.
- Facilitate, encourage and support staff to participate in regular personal development activity.
- Assist in the recruitment of new staff as required according to Study Group policies and procedures.
- Support local awareness raising of compliance requirements and procedures.
- Maintain the Centre’s definitive datasets and student results, ensuring accuracy and currency and produce reports for the Head of Centre/other members of the team as requested.
- Act as secretary to relevant governance boards as required.
- Ensure Study Group policies and standard operating procedures are followed.
- Support management teams in preparation for quality assurance and enhancement activities.
- Liaise with central teams to update student bookings with Study Plan changes.
- Ensure student reports are produced in a timely manner and information is accurate and student feedback is professional.
- Support management with MAB and PAB organisation.
- Assist the centre managers with the implementation of assessment standards and regulations.
- Organise the release of assessment screens termly.
- Organise and assist with invigilation of assessments.
- Organise the verification process of assessments, security, collation, distribution, collection and archiving of assessments, examination scripts and documentation.
- Ensure the various systems used are reviewed and updated as required.
- Log and ensure accuracy and updating of all assessment documentation (for example appeals; academic misconduct; mitigating circumstances).
- Coordinate the collection of information from faculties and management to complete the central timetabling template and liaise with the central team for its creation and any changes.
- Act as Visa lead for the Centre and liaise fully with the central teams to ensure a full understanding of visa compliance procedures and processes, contributing to compliance in the Centre.
- Keep accurate records, chase outstanding compliance documentation.
- Organise student registration at all intake points, including late arrivals to ensure student records are updated, relevant documentation uploaded and that quality audits are undertaken for accuracy and missing information.
- Ensure Validate is updated as required.
- Attend monthly visa lead meetings organised by the central team to embed the Study Group Standard Operating Procedures.
- Monitor attendance in line with the policy, logging the attendance interventions required (and liaising with the Wellbeing & Progression Co‑ordinator (small) or Wellbeing & Engagement and Progression & Transition Coordinators (medium) to ensure interventions are implemented).
- Record any mitigating factors.
- Support the Student Experience Team in contacting absent students and inform parents and agents when necessary.
- Work with the university partner Immigration Team where relevant to ensure iCAS procedures are completed as agreed in iCAS documentation as relevant.
- Be a key point of contact for all students and deal professionally and promptly with student enquiries and requests for support, fostering positive relationships with the student body.
- Assist in organising and delivering student events such as induction, transition and enrichment activities.
- Liaise with central teams to manage workload in busy periods or during absence.
- In liaison with central teams contribute to the continuous improvements of processes and communication to enhance the student experience.
- To foster productive relationships with internal and external stakeholders.
- Any other duties as required by the Student Experience Leader or Centre Director.
ABOUT YOU
- Bachelor degree (or equivalent experience demonstrating ability to work and think independently).
- Line management of staff desirable.
- Supporting students in an educational context.
- Working in a regulated environment.
- Ability to structure your work in order to support compliance, deal with competing priorities.
- A strong understanding of Student Support activities and their contribution to the ISC as a whole, or equivalent experience in a similar setting.
