About the Role
We are looking for a Contract Coordinator to join our Facilities Engineering team in Towcester.
This is a key administrative and coordination role, supporting the Contracts Manager and wider Facilities Team to ensure the smooth and efficient delivery of day-to-day contract activities.
Working in a busy environment, you will be responsible for coordinating documentation, timesheets, quotations, orders, invoices, utilities data and other contract administration, while maintaining excellent communication with both internal teams and external clients.
Specifically, your key responsibilities will include
- Provide administrative and coordination support to the Contracts Manager and Facilities Team.
- Manage calls, correspondence and general office administration.
- Maintain accurate contract and facilities documentation.
- Process timesheets and resolve related queries.
- Maintain quotation registers and associated records.
- Raise purchase orders and invoices as required.
- Manage delivery notes, waste transfer notes and receipts.
- Update CAFM systems and document management platforms.
- Maintain utilities, expenses, holiday and absence records.
- Provide excellent customer service to internal and external stakeholders.
- Support the wider Facilities Team with additional duties and activities as required.
About you
We would like to hear from you if you have
- Previous experience in administration, coordination or contract support role.
- Strong organisational and time-management skills.
- Excellent attention to detail and accuracy when handling documentation and data.
- Good IT skills and confidence using Microsoft Office and business systems.
- Strong written and verbal communication skills.
- The ability to work independently while also supporting a wider team.
- A proactive approach to identifying and resolving issues.
- The ability to build positive relationships with colleagues, clients and suppliers.
- Experience within facilities management, engineering, construction or a similar environment would be advantageous, but is not essential.
