Join a friendly and community-focused Town Council team where no two days are the same. As our Office Administrator, you will play a key role in delivering excellent service to residents, councillors and colleagues, helping to ensure the smooth and efficient operation of the Council.

This varied and rewarding role offers the opportunity to work across a wide range of services, from supporting community projects and events to assisting with council meetings, communications and day to-day administration. It is ideal for someone who enjoys working with people, is highly organised and takes pride in making a positive

difference within the local community.

Key Duties & Responsibilities

The responsibilities below illustrate the breadth and variety of the role. Working as part of a supportive team, you will have opportunities to contribute across a wide range of council services and initiatives, with duties adapting to meet the needs of the organisation and local community.

Front of House

Be the welcoming first point of contact for residents, councillors, visitors and partners, providing a professional and helpful service.

Administration & General Office

Work collaboratively across a range of council services, supporting projects and initiatives that help deliver positive outcomes for the local community.

Maintain organised and efficient digital and paper filing systems, ensuring council records are managed accurately, securely and in accordance with retention and records management policies.

Support internal meetings: book meeting rooms, organise refreshments, and set up AV / IT equipment as required.

Undertake general administrative tasks: photocopying, scanning, formatting documents, proofreading, drafting letters and emails.

Process banner bookings, hire of council spaces and contractor applications. Provide back up support for burials administration.

Save safety reports and update records.

Support procurement and purchasing: obtain quotes, raise purchase orders and monitor invoices.

Maintain databases, CRM systems and contact lists.

Committee / Meeting Support

Assist in preparing and distributing accessible agendas, reports, meeting packs, and supporting documentation in line with deadlines and statutory requirements.

Track meeting actions and follow up where delegated or requested.

Support councillors (e.g. 1:1 queries, committee membership updates, contact information) and support induction/training administrative tasks.

Events, Projects & Community Support

Play an active role in organising and delivering community events, civic occasions and consultations that bring people together and strengthen local engagement.

Provide administrative support to grants and funding bids.

Contribute to promoting the Council's work through newsletters, social media, website content and public communications.

Support with council projects, providing administrative support for specific projects in line with requirements set by the Programme Board.

Provide cover for other roles (e.g. Administration Officer, Assistant Clerk) during leave or busy periods, as directed.

Other Duties

Undertake training and professional development to maintain and enhance skills.

Comply with the council’s policies (financial regulations, procurement rules, data protection, equalities, health & safety).

Participate in evening / weekend meetings or events as required; when this occurs, compensatory time or overtime (as per council policy) will apply.

Perform any other reasonable tasks consistent with the role as required by the CEO (Town Clerk) or senior management.
