A global Law firm seeks a Legal PA to provide high-quality, proactive administrative and coordination support to Partners and senior fee earners within their Disputes team.
The role requires excellent organisation, attention to detail, discretion and the ability to manage competing priorities while delivering a high standard of service to internal and external clients.
Key Responsibilities
- Partner & Fee Earner Support
- Manage busy and complex calendars, including international meetings and multiple time zones.
- Act as a key point of contact, managing calls, emails, correspondence and meeting requests.
- Prepare meeting materials, background information and follow-up actions.
- Assist with expenses, business administration and other Partner requirements.
- Matter & Compliance Management
- Support the smooth administration of client matters from opening through to closure.
- Coordinate with internal teams to ensure appropriate onboarding, conflict checks, compliance and client documentation are completed.
- Maintain accurate electronic and physical records and ensure matters are closed and archived appropriately.
- Billing & Financial Administration
- Assist with billing, time recording, WIP and financial reporting.
- Ensure billing information, rates and payment arrangements are accurate.
- Monitor outstanding invoices and liaise with relevant teams where necessary.
- Support the timely processing of expenses, disbursements and payments.
- Travel & Events
- Arrange domestic and international business travel, including itineraries and supporting documentation.
- Assist with travel approvals, expenses and business cases where required.
- Coordinate client meetings, lunches, dinners, networking events and other business development activities.
- Business Development
- Assist with preparing client presentations and other business development materials.
- Maintain accurate client and contact information within relevant systems.
- Support Partners with client relationship and referral management.
- Delegation & Team Collaboration
- Delegate administrative, document production and specialist tasks to appropriate internal teams.
- Work collaboratively with colleagues across legal support, finance, compliance and other business functions.
- Provide cover and support to colleagues when required.
- Identify opportunities to improve processes, systems and ways of working.
