A leading professional services organisation is seeking a highly organised and proactive PA/EA to support a senior Director within a dynamic and fast-paced Property & Workplace function. The firm have just moved into a brand new building and have an excellent benefits package, as well as a free onsite restaurant!
This is a fantastic opportunity for an experienced coordinator, executive assistant, or PA who enjoys operating at the heart of a business, working across multiple teams, managing senior stakeholder relationships, and ensuring the smooth delivery of key operational priorities.
The Opportunity
Working closely with the Director of Property & Workplace, you will act as a trusted right-hand support, coordinating activity across several specialist teams and serving as a central point of contact for communications, reporting, and departmental administration. This role offers significant variety and visibility, making it ideal for someone who thrives in a collaborative environment and enjoys balancing executive support with project coordination and stakeholder engagement.
Key Responsibilities
- Executive & PA Support
- Provide comprehensive and confidential support to the Director
- Manage a busy and ever-changing diary, ensuring priorities are effectively coordinated
- Prepare meeting agendas, papers, briefings and minutes
- Manage correspondence, emails, expenses and invoices
- Coordinate travel arrangements and logistics where required
- Reporting & Communications
- Collate and coordinate monthly reporting across multiple teams
- Assist with the preparation of presentations and reports for senior leadership
- Produce high-quality PowerPoint presentations and supporting documentation
- Draft and coordinate internal communications on behalf of the Director
- Coordination & Stakeholder Management
- Act as a key liaison between the Director and several operational teams
- Coordinate actions, priorities and projects across the wider function
- Build strong working relationships with stakeholders across the business
- Support the planning and coordination of meetings, events and departmental activities
- Assist with workforce planning, holiday coordination and team coverage requirements
- Administration
- Maintain accurate filing systems and records
- Manage contact data and CRM updates
- Handle incoming communications professionally and efficiently
- Identify potential issues and proactively escalate where appropriate
About You
We're looking for an adaptable and professional individual who can confidently support senior leadership while maintaining exceptional attention to detail. You will ideally have:
- Previous experience in an Executive Assistant, PA, Coordinator or Executive Support role
- Experience working within a corporate, legal, financial services or professional services environment
- Excellent organisational and prioritisation skills
- Strong written and verbal communication abilities
- Advanced Microsoft Office skills, particularly Outlook, PowerPoint, Word and Excel
- Experience supporting senior stakeholders and managing competing priorities
- The ability to build trusted relationships across a wide range of teams
- A proactive and solutions-focused approach
- High levels of discretion, professionalism and confidentiality
