A financial services firm in the City of London who focus on providing banking and treasury services internationally, seek an experienced EA to join them from June on a 15 month fixed term contract.
This role will support the Head of Department with the below responsibilities:
- Organising and scheduling meetings, coordinating with internal and external participants, and preparing relevant materials.
- Managing bookings for rooms, calls, catering, and other meeting logistics.
- Handling general administrative tasks such as calls, messages, expenses, document processing, and correspondence.
- Coordinating business travel, including transport, accommodation, itineraries, visas, and post-trip follow-ups.
- Supporting visiting colleagues with travel, accommodation, and meeting arrangements.
- Overseeing expense submissions, ensuring accuracy and timely reconciliation of company card transactions.
- Maintaining close communication with internal teams and international offices.
- Tracking and supporting completion of staff training requirements, and escalating issues when needed.
- Preparing materials for presentations, management, and board meetings.
- Managing complex calendars and supporting presentation preparation where required.
- Arranging schedules and meetings for visiting colleagues and greeting external guests when needed.
- Supporting onboarding by organising workspace setup, equipment, and introductory meetings for new hires.
- Coordinating committee-related activities, including scheduling, documentation, minutes, and record maintenance.
- Assisting with visa approval processes, ensuring all documentation is complete.
We are looking to speak to experienced PAs/EAs from a corporate background (ideally banking or financial services), who have strong organisation skills, can work in a fast paced environment and enjoy taking on a wide array of tasks.
