A leading professional services organisation is seeking a highly organised and proactive PA/Project Coordinator to support a senior Director and wider team within a dynamic and fast‑paced Property & Workplace function. The firm has just moved into a brand new building and has an excellent benefits package, as well as a free onsite restaurant!

This is a fantastic opportunity for an experienced coordinator, executive assistant, or PA who enjoys operating at the heart of a business, working across multiple teams, managing senior stakeholder relationships, and ensuring the smooth delivery of key operational priorities.

The Opportunity

Working closely with the Director of Property & Workplace, you will act as a trusted right‑hand support, coordinating activity across several specialist teams and serving as a central point of contact for communications, reporting, and departmental administration. This role offers significant variety and visibility, making it ideal for someone who thrives in a collaborative environment and enjoys balancing executive support with project coordination and stakeholder engagement.

Responsibilities

  • Extensive diary management
  • Meeting coordination and preparing agendas
  • Attending meetings and taking notes
  • Preparing presentations for meetings, internal and external
  • Managing invoices and expenses
  • Arranging travel and logistics
  • Serve as the key link between the Director and the teams
  • Coordinate activities, actions and priorities across all five teams
  • Involvement in various projects, ensuring everything runs smoothly
  • Liaise with team managers to coordinate holiday and planned absences
  • Establish and maintain effective and accurate filing systems
  • Manage contact and relationship data in the firm's CRM system
  • Reporting for individual teams
