We are seeking a highly organised and proactive Executive Assistant to provide comprehensive support to senior leaders within a fast‐paced, international financial services environment. This role requires exceptional coordination skills, strong attention to detail and the ability to manage complex priorities across multiple stakeholders.

Key Responsibilities

  • Provide full executive support including extensive diary management, inbox oversight, meeting coordination and preparation of agendas, briefing materials and action logs.
  • Organise international travel, visas, accommodation, itineraries and follow‐up administration.
  • Manage expenses and ensure timely reconciliation of corporate card transactions.
  • Coordinate internal and external meetings, conference calls, presentations and management packs.
  • Act as a key point of contact across departments, liaising with colleagues, senior management and external partners.
  • Support onboarding processes for new joiners, including equipment setup and scheduling introductions.
  • Serve as committee secretary for internal governance groups, including meeting scheduling, document preparation, minute‐taking and maintaining SharePoint records.
  • Provide general administrative support such as handling calls, document preparation, scanning and managing office‐related queries.
  • Assist with training coordination, business continuity activities and ad‐hoc projects for wider teams.

Skills & Experience

  • Previous experience in an Executive Assistant, team support or secretarial role.
  • Strong proficiency in MS Office (Word, PowerPoint, Excel).
  • Excellent communication, time management and organisational abilities.
  • Ability to multitask, use initiative and work calmly under pressure.
  • Professional, discreet, adaptable and confident supporting senior stakeholders.
