We are looking for an experienced Assistant PA Manager to lead and manage a team of secretarial professionals within a busy professional services environment.

This is a hands-on role, responsible for ensuring the team delivers a high-quality, efficient and responsive service to partners and fee earners.

Key Responsibilities

  • Manage the day-to-day performance, workflow and resourcing of the secretarial team.
  • Allocate secretarial support effectively, ensuring appropriate cover and resource levels across the team.
  • Lead, coach and develop team members, including performance management, appraisals, training and career development.
  • Manage absence, annual leave, new joiners, leavers and team allocations.
  • Oversee the onboarding and induction of new team members, ensuring they are fully supported.
  • Work closely with senior stakeholders to understand business needs and make recommendations around secretarial resource and support.
  • Identify opportunities to improve processes, increase efficiency and embed best practice across the secretarial function.
  • Support the implementation and adoption of new technologies, processes and AI-driven solutions.
  • Build strong relationships with partners, fee earners, HR and other business support teams.
  • Address day-to-day people management, performance and quality issues, escalating where appropriate.
  • Provide strong PA and organisational support to the Practice Group Leader and, when required, the Practice Group Manager.
  • Support wider Practice Group operational activities and projects as required.

About You

  • At least 3 years' proven supervisory/management experience in a similar role.
  • Professional services experience is essential; experience within a law firm is highly desirable.
  • Strong people-management and leadership skills, with the ability to coach, motivate and develop a team.
  • Excellent organisational and communication skills, with the confidence to work with stakeholders at all levels.
  • Proven ability to manage workflow, prioritise competing demands and remain calm under pressure.
  • Experience of improving processes and driving efficiencies.
  • High level of discretion and professionalism when dealing with confidential and sensitive matters.
  • Strong IT skills, including Microsoft Office and Teams.
  • Flexible, practical and solutions-focused approach.
