To provide first class administrative support to the property managers within the Residential management department. The ideal candidate would have experience working within a property management company. This is a fast paced and intensive role, so the candidate needs to be highly organised, proactive and understand the importance of working to a deadline.
Key Responsibilities
- Ensure all properties have valid Health & Safety certificates.
- Prepare and set up new files with welcome packs for the tenants. This will include completing proformas and protecting deposits.
- Instruct contractors and deal with some day to day maintenance issues.
- Organise and carry out 6 monthly property inspections with property managers and tenants.
- Progress and negotiate renewals with tenants after landlord instruction.
- Participate in weekly team meetings and quarterly director meetings.
- Report on rental arrears to property managers and follow up and chase tenants accordingly.
- Provide support to the team with any adhoc tasks.
- Answer incoming telephone calls, and take detailed messages.
- Ensure that administration is carried out in accordance with ARLA requirements.
- Raise fees, enter data onto our CRM system and send them out to the relevant parties on the behalf of the property managers.
- Update Riskwise when works are completed for Health & Safety.
- Manage the filing system so documents can easily be retrieved on Virtual Cabinet.
- Help cover reception on tea break.
