The Company
We are working with a fast-growing and dynamic logistics and transport business specialising in time-critical and express freight solutions across the UK and Europe. Due to continued growth, they are looking to recruit a hands-on and proactive Transport Operations Coordinator to join their operations team. This is a varied, fast-paced role that sits at the heart of the business, supporting day-to-day transport operations, customers, drivers, customs processes, and bookings across the UK and Europe.
The Role
This is a broad, operational role where you will be heavily involved in the coordination of transport movements, customer support, driver liaison, bookings, customs documentation, and live job management. You will work closely with the Transport Manager and wider operations team to ensure jobs are planned, executed, and delivered smoothly, customers are kept informed, and any issues are dealt with quickly and professionally. The role also includes out-of-hours support on a rota basis and occasional hands-on support within the warehouse environment.
Key Responsibilities
- Liaise with customers and provide a high level of service and operational support
- Support transport planning and truck movements for current and future jobs
- Manage ferry and Eurotunnel bookings and ensure all relevant documentation is completed
- Ensure quotes are sent to customers and correct pricing is recorded in shared spreadsheets and systems
- Deal with last-minute and urgent customer requests, including out-of-hours on a rota basis
- Support the operations team with live and ongoing jobs, ensuring customers receive timely updates
- Find and allocate work for drivers across the UK and Europe when required
- Handle job requests from customers via email and phone
- Take responsibility for completing customs and border documentation including GMRs, ENS, Portbase (Netherlands) and PBN (Ireland)
- Check jobs within the TMS (e.g. Journease) to ensure collections, deliveries, times and loads are correct
- Update the TMS and internal systems with accurate, real-time information and job updates
- Communicate regularly with customers to provide progress updates
- Deal with driver queries and provide operational support, including routes and instructions where required
- Support the Transport Manager and wider team with operational tasks as needed
- Assist in the warehouse when required, including forklift work (licence beneficial) and supporting X-docking operations
- Ensure the warehouse and working areas are kept clean and tidy
- Support compliance activities when required by the Transport Manager or senior management
- Support the finance team by checking ferry and Eurotunnel invoices, missing cost reports, and authorised purchase orders
- Liaise with ferry and Eurotunnel account managers and alternative operators to secure the best available rates
The Ideal Candidate
- Experience in a transport, logistics, traffic office, or operations coordination role
- Comfortable working in a fast-paced, time-critical environment
- Highly organised with strong attention to detail
- Confident using transport management systems, spreadsheets, and internal software
- Strong communication skills with customers, drivers, and internal teams
- Proactive, flexible, and solutions-focused mindset
- Willing to participate in an out-of-hours support rota
- Knowledge of UK/EU transport operations and customs processes is a strong advantage
- Forklift licence beneficial but not essential
