We need someone to keep us & our office running — the kind of person who notices the printer is out of toner before anyone else does, knows who to call when the wifi goes down, helps with tasks and requests, and makes sure the space feels like somewhere people actually want to come to work.

This is a broad, practical role.

No two days will look the same.

You’ll be the go-to for anything office and operations related, working closely with our Chief of Staff and interfacing with building management, suppliers, and the entire team.

You’ll be the go‑to for anything office and operations related, working closely with our Chief of Staff and interfacing with building management, suppliers, and the entire team.

  • Office & Facilities
  • Day-to-day management of the office environment — keeping it clean, stocked, and functional
  • Primary point of contact with the building owner and facilities management team
  • Coordinate any maintenance, repairs, or contractor visits
  • Manage meeting rooms, shared spaces, and office layout as the team grows
  • IT & Equipment
  • Set up laptops, monitors, printers, and peripherals for everyone
  • Troubleshoot basic IT issues — wifi, printers, screens, peripherals — and escape to external IT support when needed
  • Maintain an inventory of office equipment and coordinate repairs or replacements
  • Manage vendors/licenses/etc
  • Procurement & Supplies
  • Own ordering for office supplies, kitchen stock, and equipment
  • Manage supplier and vendor relationships — getting the best value without over-complicating it
  • Handle ad hoc purchasing requests from the team
  • Health & Safety
  • Maintain basic health and safety compliance — first aid kit, fire safety, risk assessments
  • Act as the on-site point of contact for H&S matters
  • General Support
  • Help coordinate team events, offsites, and in‑office lunches or socials
  • Help with expense and invoice management
  • Support the Chief of Staff and leadership team with ad hoc operational tasks
  • Be a friendly, reliable presence that the team can count on

Requirements

  • Must-have
  • Previous experience in an office management, facilities, or operations coordinator role
  • Comfortable with basic IT troubleshooting — you don’t need to be a technician, but you shouldn’t be fazed by a router reset or a printer driver issue
  • Highly organised with a can‑do attitude and a low ego about what’s “your job”
  • Good with suppliers and building contacts — professional, clear, and able to follow through
  • Proactive: you spot problems before you become complaints
  • Comfortable working independently and managing your own time across part‑time hours
  • Nice to have
  • Experience in a scale‑up or similarly fast‑moving environment
  • Familiarity with procurement or vendor management
  • Basic knowledge of health and safety requirements
