Role Purpose
Working with the Chief Commercial Officer, the Contracts Coordinator acts as the essential bridge between our internal teams (Sales, Commercial and Account Management) and our external legal counsels. As we move toward a model that utilises external counsel heavily, this role is the "air traffic controller" for all legal requests. You will primarily manage the relationship with our external firms, triage incoming queries, set priorities, and ensure that legal workflows remain efficient, cost-effective, and aligned with business goals.
Key Responsibilities
- Relationship & Workflow Management:
- Primary Liaison: Serve as the sole point of entry for all internal legal requests, managing the day-to-day relationship with external legal counsel.
- Priority Setting: Evaluate and prioritise competing legal tasks based on business urgency and value, ensuring external counsel focuses on the most critical items first.
- Triage & Scoping: Review internal requests to ensure they are complete before sending to counsel. Answer routine questions using existing playbooks to minimise unnecessary external spend.
- External Counsel Oversight: Monitor the progress of external legal work, ensuring deadlines are met and legal advice is translated into actionable steps for the business.
- Documentation Management: Coordinate the drafting and amendment process for Customer, Partner, and Supplier contracts, ensuring all versions are tracked and filed.
- Onboarding Coordination: Facilitate the formal onboarding of organisations by collecting necessary legal inputs and ensuring all signature-ready documents are processed.
- Conflict Coordination: Act as the internal point of contact for contractual disputes, gathering evidence and briefing external counsel as needed.
- Budget & Performance Tracking: Monitor external legal spend and responsiveness, providing regular reports to leadership on counsel performance and contract volumes.
- Process Optimisation: Continuously refine the "internal-to-external" handoff process, identifying opportunities to use AI or legal tech tools to improve speed while maintaining quality.

- Proven experience managing relationships with external law firms or vendors and multiple internal stakeholders.
- Direct experience in workflow management or acting as a "go-between" for technical/legal and non-technical teams.
- Solid understanding of standard contract structures and commercial terms.
- Relevant business or legal qualification (e.g., Law Degree, GDL, or Paralegal certification).
- Experience in a fast-paced tech or cloud-computing environment.
- Experience in project management or legal operations (Legal Ops).
- Experience of working with AI in legal and contract management settings.
- Experience in reviewing and drafting non-complex contracting documents e.g. NDAs, Contract Variations.
Location: Paddington, London. We operate a hybrid working model. This role will require 2-3 days per week in the office.
