The role
Strata seeks a Project Manager to join the expanding team and work across a broad range of events within the pharmaceutical sector. The successful candidate will demonstrate substantial project management and delegate management experience, with the ability to manage multiple events concurrently and at different stages.
- Demonstrate the ability to manage multiple projects, clients and deadlines in a calm and composed manner.
- Experience in congresses, pharma standalone meetings, advisory boards, and product launches, working across multiple agency departments (e.g., delegate management, production).
- Multitask and prioritise to manage client and internal expectations in a fast-paced environment.
- Ability to manage client relationships throughout and advise on alternatives where necessary.
- Creation and management of a granular project planner detailing all milestones to ensure timely and efficient delivery.
- Management of project team to ensure roles and responsibilities are clear and the project is delivered seamlessly at all levels.
- Chair conference calls with client agencies (e.g., Med Comms, Media, PR) to ensure sessions are productive with clear actions and deadlines.
- Negotiate with suppliers to achieve favourable contractual terms and savings.
- Global venue knowledge is desirable.
- Oversee venue searches, make informed recommendations, and lead client site visits.
- Ongoing liaison, communication and management of all suppliers to ensure arrangements are understood and delivered to a high standard.
- Supervision of resources to manage scope and deliver projects within agreed timeframes to maximise margins.
- Preparation and ongoing management of large, complex budgets in multiple currencies with accuracy and justification for fluctuations.
- Develop management fees for projects in line with corporate objectives.
- Lead onsite teams to ensure seamless event delivery and exceed client expectations.
- Facilitate the development of an Event App and ensure quality content and client utilization throughout the event.
- Prepare and collate Health & Safety and Crisis Management documentation to ensure proactive disaster recovery for all events.
- Confidently participate in face-to-face pitches for new business when needed.
- Facilitate post-event debriefs (internal and client) with a critical eye and share best practices across involved teams.
- Reconcile all events within agreed timelines and ensure required paperwork is provided in the correct format.
- Act as gatekeeper for compliance, maintaining high event standards within required guidelines.
- Maintain key hotel and destination supplier relationships.
The candidate
- This is a pivotal role in a new team. The candidate must have both project management and delegate management experience, with the ability to manage multiple events concurrently and at different stages.
- Extensive travel within Europe is required, potentially up to half of events per month (including site inspections). The candidate should be agile, flexible, process-driven, calm under pressure, and detail-oriented.
